Role Overview
The Administration Executive will be responsible for end-to-end administrative operations, office infrastructure management, vendor coordination, compliance support, and internal coordination across departments. The role requires strong leadership, decision-making ability, process orientation, and the capability to manage administrative teams efficiently in a fast-growing Clinical Research Organization.
Key Responsibilities
1. Overall Administration & Office Management
- Lead and oversee daily administrative operations of the organization
- Ensure smooth functioning of front office, facilities, housekeeping, and security
- Develop and implement admin policies, SOPs, and workflows
- Maintain discipline, professionalism, and office decorum
2. Facility & Infrastructure Management
- Oversee office maintenance, utilities, seating arrangements, and infrastructure
- Coordinate with service providers for repairs, AMC, electrical, IT, internet, and equipment
- Ensure compliance with safety, hygiene, and operational standards
3. Vendor & Purchase Management
- Identify, negotiate, and manage vendors for housekeeping, pantry, stationery, IT, and utilities
- Handle quotations, purchase approvals, invoices, and payment coordination
- Maintain vendor master data, purchase trackers, and service follow-ups
4. Documentation, Records & Compliance
- Ensure proper maintenance of administrative, legal, and employee-related records
- Oversee confidentiality and security of documents (agreements, IDs, contracts, licenses)
- Support audits, inspections, and internal compliance requirements
5. HR & Employee Coordination Support
- Coordinate closely with HR for onboarding, exit formalities, and employee movements
- Supervise attendance systems, leave records, and staff coordination registers
- Support interview scheduling, induction programs, and training arrangements
6. Team Supervision & Coordination
- Supervise Admin Assistants, front office staff, and support personnel
- Allocate tasks, monitor performance, and ensure timely execution of admin activities
- Act as a single point of contact for admin-related issues across departments
7. Meetings, Trainings & Event Management
- Oversee meeting rooms, training facilities, and conference arrangements
- Coordinate internal events, celebrations, trainings, and corporate activities
- Ensure availability of required resources (projectors, stationery, seating, refreshments)
8. Reporting & Management Updates
- Prepare and present daily, weekly, and monthly admin reports
- Track expenses, maintenance costs, and operational efficiency
- Provide regular updates to management on admin issues, risks, and improvements
