The Clinic Administrator is responsible for overseeing the day-to-day operations of the clinic, ensuring smooth workflow, excellent patient experience, efficient staff coordination, and compliance with clinic policies. The role requires strong leadership, organizational, communication, and administrative skills to maintain high operational standards.
Key Responsibilities
Clinic Operations
- Manage daily clinic operations to ensure smooth functioning.
- Monitor appointment schedules and patient flow.
- Ensure the clinic maintains cleanliness, hygiene, and professional standards.
- Coordinate with doctors, nurses, therapists, and support staff.
Patient Experience
- Resolve patient complaints and escalations professionally.
- Monitor patient feedback and implement service improvements.
- Maintain patient confidentiality at all times.
Staff Management
- Supervise front office, reception, housekeeping, and support staff.
- Prepare duty rosters and manage attendance.
- Conduct regular staff meetings and performance reviews.
- Train new employees on clinic policies and SOPs.
Administration
- Maintain clinic records, reports, and documentation.
- Ensure compliance with healthcare regulations and internal policies.
- Coordinate with vendors for supplies and maintenance.
- Monitor inventory of medical and office supplies.
Financial & Billing
- Oversee billing, cash collection, and daily reconciliation.
- Monitor outstanding payments and follow up when required.
- Prepare daily, weekly, and monthly operational reports.
- Assist management in budgeting and expense control.
Marketing & Business Development
- Coordinate with the marketing team for promotional campaigns.
- Monitor lead conversions and patient retention.
- Support business growth initiatives and promotional activities.
Qualifications
- Bachelor's degree in Hospital Administration, Healthcare Management, Business Administration, or a related field.
- Master's degree is an added advantage.
Experience
- 1–5 years of experience in clinic, hospital, or healthcare administration.
- Experience in a dermatology, cosmetology, dental, or aesthetic clinic is preferred.
