Key Responsibilities:
1. Day-to-Day Administrative Operations
- Oversee routine office operations to ensure smooth functioning across departments
- Coordinate with internal teams for operational requirements and administrative support
- Maintain records of office activities, assets, and documentation
- Manage scheduling, meetings, and internal coordination tasks
2. Compliance & Documentation
- Ensure adherence to company policies, legal regulations, and statutory requirements
- Maintain and update compliance records, licenses, and approvals
- Assist in preparing documents required for audits, inspections, and regulatory filings
3. Client & Vendor Communication
- Act as a point of contact for administrative communication with clients and vendors
- Handle email correspondence professionally and in a timely manner
- Coordinate with vendors for procurement, service delivery, and issue resolution
- Maintain updated records of vendor contracts, agreements, and communications
- Support negotiation follow-ups and documentation with external stakeholders
4. Drafting & Documentation
- Draft formal emails, letters, agreements, and administrative documents
- Prepare client proposals, vendor contracts, and internal communication documents
- Ensure accuracy, clarity, and professionalism in all written communication
- Maintain proper filing and version control of all documents
- Assist in creating reports, summaries, and administrative presentations
5. Coordination
- Act as the central point of coordination between Inventory, QA/QC, and HSE teams
- Ensure all departments are aligned with daily and weekly project plans
6. Monitoring & Tracking
- Track progress of tasks across all departments
- Maintain daily status reports on work completion, delays, and issues
7. Reporting & Visibility
- Consolidate updates from Inventory, QA/QC, and HSE teams
- Provide structured reports to senior/project management
8. Escalation & Decision Support
- Identify delays, risks, or gaps in execution
- Escalate critical issues and support quick decision-making
Core Responsibilities:
- Coordinate and align activities across Inventory, QA/QC, and HSE departments to ensure smooth project execution
- Monitor daily operations and track progress against defined timelines
- Collect, verify, and consolidate updates from all departments into structured reports
- Maintain real-time visibility of on-site activities, including task status and workforce movement
- Identify operational gaps, delays, or risks and escalate them to the project representative
- Ensure all teams adhere to defined processes, timelines, and reporting structures
- Act as the central communication link between site teams and project leadership
Pay: ₹40,000.00 - ₹50,000.00 per month
