Job Summary
The Operations Executive is responsible for coordinating and supporting the day-to-day operational activities of the hospital to ensure efficient service delivery, patient satisfaction, regulatory compliance, and smooth interdepartmental coordination. The role focuses on optimizing hospital processes, monitoring operational performance, and resolving operational issues promptly.
Key ResponsibilitiesHospital Operations
- Monitor daily hospital operations to ensure smooth functioning of all clinical and non-clinical departments.
- Coordinate with Nursing, Medical, Diagnostic, Pharmacy, Front Office, Housekeeping, Security, Biomedical, Maintenance, and other support services.
- Ensure efficient patient flow from admission to discharge.
- Support implementation of hospital policies, SOPs, and operational protocols.
- Resolve operational issues and escalate critical matters to management.
Patient Experience
- Monitor patient satisfaction and address patient or attendant concerns promptly.
- Ensure timely resolution of complaints and maintain complaint records.
- Coordinate with departments to improve patient service quality.
- Ensure a patient-centric environment throughout the hospital.
Quality & Compliance
- Ensure compliance with hospital policies, NABH standards, and statutory regulations.
- Participate in internal audits and quality improvement initiatives.
- Monitor adherence to infection prevention and control practices.
- Assist in implementing corrective and preventive actions (CAPA).
Coordination & Administration
- Coordinate meetings with department heads and prepare meeting minutes.
- Follow up on action items and operational improvements.
- Support planning and execution of hospital events, inspections, and accreditation activities.
- Maintain operational reports and documentation.
Resource Management
- Monitor utilization of hospital resources, including beds, manpower, and equipment.
- Coordinate with the purchase and stores departments for operational requirements.
- Ensure adequate availability of consumables and essential supplies.
Reporting & MIS
- Prepare daily, weekly, and monthly operational reports.
- Analyze key operational metrics such as:
- Bed Occupancy Rate (BOR)
- Average Length of Stay (ALOS)
- Patient Waiting Time
- Turnaround Time (TAT)
- Patient Feedback Scores
- Present operational data to management for decision-making.
Safety & Risk Management
- Ensure compliance with fire safety, emergency preparedness, and hospital safety protocols.
- Report incidents and coordinate corrective actions.
- Participate in emergency drills and disaster management activities.
Qualifications
- Bachelor's degree in Hospital Administration, Healthcare Management, Business Administration, or a related field.
- Master's degree (MHA, MBA-Hospital Management, or equivalent) is preferred.
Experience
- 2–5 years of experience in hospital operations or healthcare administration.
- Experience in NABH-accredited hospitals is preferred.
