Job Summary
The Purchase Executive is responsible for procuring construction materials, equipment, and services required for project execution. The role involves vendor management, price negotiation, purchase order processing, material tracking, and ensuring timely delivery of materials while maintaining quality and cost efficiency.
Key Responsibilities
Procurement & Purchasing
- Source and procure construction materials, tools, machinery, and consumables as per project requirements.
- Obtain quotations from multiple vendors and conduct comparative analysis.
- Negotiate prices, payment terms, and delivery schedules with suppliers.
- Prepare and issue Purchase Orders (POs) after obtaining necessary approvals.
- Ensure timely procurement of materials to avoid project delays.
Vendor Management
- Develop and maintain relationships with suppliers and vendors.
- Identify and evaluate new vendors for quality, cost, and reliability.
- Monitor vendor performance and resolve supply-related issues.
- Maintain an approved vendor database.
Material Coordination
- Coordinate with project teams, stores, and site engineers regarding material requirements.
- Track purchase orders and follow up on deliveries.
- Ensure materials received match purchase specifications and quantities.
- Coordinate with stores for material receipt and documentation.
Cost Control & Documentation
- Monitor procurement costs and identify cost-saving opportunities.
- Maintain purchase records, quotations, comparative statements, and vendor agreements.
- Prepare procurement reports and MIS for management review.
- Ensure proper filing and documentation of all purchase transactions.
Compliance
- Ensure procurement activities comply with company policies and procedures.
- Verify GST, invoices, delivery challans, and other supporting documents.
- Support internal and external audits related to procurement activities.
Qualification
- Bachelor's Degree in Engineering, Commerce, Supply Chain Management, or related field.
- Diploma in Civil Engineering will be an added advantage.
Experience
- 2 to 5 years of experience in procurement/purchasing, preferably in Civil Construction projects.
Required Skills
- Knowledge of construction materials and procurement processes.
- Strong negotiation and vendor management skills.
- Good understanding of GST, invoices, and purchase documentation.
- Proficiency in MS Excel, Word, and ERP software.
- Strong analytical and communication skills.
- Ability to work under pressure and meet deadlines.
