Job Description:
Asst. Sourcing Manager /Assistant Manager Procurement– Bengaluru, India
The Sourcing Manager is responsible for managing all aspects of the procurement service delivery in JAPAC for client. Obtain results aligned with the mission, principles, values and objectives of JLL and client. Keep stewardship controls for JLL P2P (procurement to payment) transactions on client account as a result of performing audits, implementing process, training the team. Apply internal audits on procurement and sourcing procedures. Ensure 100% compliance of all sourcing and procurement procedures and records according with all corporate policies. Improve and simplify quotation process for spot purchases.
Educational Qualification: Bachelor's degree required
Required Experience: 7 to 8 years
Working Hours: Standard business hours from 9 AM to 5 PM
Working Days: 6 days per week
Roles and Responsibilities
The key responsibilities of this role include:
Sourcing and Procurement
Manage procurement and support FM team in all needed topics (trainings, motivation, reports, procedures, initiatives, audits, among others), in order to ensure high results aligned with the Sourcing & Internal Controls objectives.
Develop and implement price agreements with the suppliers on spot buys, and follow all proper approval procedures according to the Delegation of Authority (DOA) limits.
Simplify procurement process by analyzing current steps of the process and connecting with peers in other regions.
Key facilitator for change management issues, by easing any changing process and making them happen properly.
Oversee the process of Purchase Orders (POs) creation & update in JLL system according to SLA.
Monitor and follow-up deliveries, claims, returns and exchanges of the services/goods when escalated.
Commercial liaison between services requesters (from JLL) and the suppliers, (manage day-to-day issues and relationships) for the spot buys.
Ensure compliance with JLL Policies and Procedures, LA Sourcing Guidelines and the client’s Internal Controls. Perform self-assessments tests on a quarterly basis.
Participate in monthly sourcing team meetings.
Oversee the vendor creation/update/unblock process on JLL and client’s procurement systems
Purchase to Pay (P2P) issue resolution, when necessary, in JLL System
Vendor and Contract Management
Manage Jaggaer (Vendor Performance Management & Contracts) and Aravo (Vendor Management)
Responsible for maintaining vendor’s files according to JLL’s contractual policies, procedures, and standards. They can include contracts, amendments, certificates of insurance, letters and other legal or no legal documentation for global, regional or local agreements.
Ensure his/her team actively update Preferred Vendor List (PVL) database every quarter. Ensure that the information is accurate and up to date. Upload the authorized vendors list on Delphi.
Ensure internal controls program compliance to pass the client’s internal or external audits.
