Job Purpose:
The Administrative Executive is responsible for ensuring the smooth day-to-day administrative operations of the hospital by coordinating support services, managing vendors, maintaining statutory compliance, supervising non-clinical staff, and providing administrative support to all departments while ensuring quality patient care.
Key Responsibilities
Hospital Administration
- Coordinate daily administrative operations of the hospital.
- Ensure cleanliness, maintenance, and proper functioning of hospital facilities.
- Monitor availability of utilities such as electricity, water, HVAC, and backup power.
- Conduct regular inspections of all hospital departments.
Facility Management
- Coordinate preventive and breakdown maintenance of hospital equipment and infrastructure.
- Liaise with maintenance vendors and service providers.
- Ensure timely repairs of furniture, fixtures, electrical, plumbing, and civil works.
Housekeeping & Security
- Supervise housekeeping and security staff.
- Ensure hospital cleanliness and infection control standards are maintained.
- Monitor pest control, waste management, and biomedical waste disposal.
Vendor & Inventory Management
- Coordinate procurement of administrative and housekeeping supplies.
- Maintain inventory of stationery, consumables, and administrative materials.
- Manage vendor agreements, quotations, and service contracts.Compliance Documentation
- Maintain records of licenses, statutory approvals, and renewals.
- Support NABH and other quality accreditation activities.
- Ensure compliance with hospital policies and government regulations.
Patient & Visitor Support
- Resolve administrative complaints from patients and attendants.
- Ensure patient waiting areas and public facilities are well maintained.
- Coordinate VIP visits and special arrangements.
Safety & Emergency Preparedness
- Ensure fire safety equipment is functional.
- Participate in disaster management and emergency preparedness drills.
- Monitor workplace safety practices.Financial & Administrative Support
- Verify administrative bills and vendor invoices.
- Monitor departmental expenses and optimize operational costs.
- Maintain records of Annual Maintenance Contracts (AMCs) and service agreements. Reporting
- Prepare daily, weekly, and monthly administrative reports.
- Report incidents related to maintenance, security, and facility management.
- Submit compliance and inspection reports to management.
Pay: ₹15,000.00 - ₹25,000.00 per month
