Job Summary
The Registrar is the chief administrative officer responsible for managing the University's academic administration, statutory compliance, governance processes, and student records. The role ensures the smooth functioning of admissions, examinations, academic documentation, statutory meetings, and regulatory compliance while coordinating with university leadership, government authorities, and regulatory bodies.
Key Responsibilities
- Oversee all Registrar's Office functions, ensuring efficient academic administration and statutory compliance.
- Maintain and manage all statutory registers, academic records, admission records, examination records, degree records, and student documentation.
- Ensure timely implementation of University policies, statutes, ordinances, regulations, and academic procedures.
- Coordinate admission, enrollment, registration, examination, result declaration, and degree issuance processes.
- Verify and maintain all student records, academic documents, and institutional documentation with complete accuracy.
- Coordinate with the Government of Sikkim, UGC, AICTE, Skill Sikkim, and other statutory and regulatory authorities for approvals, compliance, inspections, and reporting.
- Prepare and submit statutory reports, university returns, and regulatory documentation within prescribed timelines.
- Organize and coordinate meetings of statutory bodies, including the Board of Management (BoM), Board of Governors (BoG), Academic Council, Finance Committee, and other university committees.
- Prepare meeting agendas, issue notices, maintain attendance records, record Minutes of Meeting (MoM), document resolutions, and ensure timely implementation of decisions.
- Maintain custody of official university records, statutory registers, notifications, circulars, and institutional documents.
- Issue official university notifications, office orders, academic circulars, and administrative communications.
- Coordinate with the Vice Chancellor, Deans, Heads of Departments, faculty members, administrative departments, and external agencies for smooth academic and administrative operations.
- Ensure proper maintenance of university records in accordance with statutory requirements and institutional policies.
- Support audits, inspections, accreditation visits, and regulatory reviews by maintaining complete and accurate documentation.
- Ensure confidentiality, integrity, and security of all official university records and documents.

- 100% accuracy and timely maintenance of all statutory and academic records.
- Zero pending statutory or regulatory compliance with government and university authorities.
- Timely completion of admission, registration, examination, certification, and degree-related processes.
- Effective conduct and documentation of all statutory body meetings with timely implementation of resolutions.
- Timely submission of statutory reports, regulatory returns, and official documentation.
- Smooth coordination with the Vice Chancellor, university departments, faculty members, students, and external authorities.
- Successful completion of audits, inspections, and accreditation requirements without documentation deficiencies.
Qualifications
- Master's Degree from a recognized University (Ph.D. preferred).
- 4–10 years of experience in university administration, academic administration, or Registrar's Office.
- Thorough knowledge of UGC Regulations, University Acts, Statutes, Ordinances, Academic Governance, and Higher Education policies.
- Experience in handling statutory meetings, university administration, regulatory compliance, and academic documentation.
Pay: ₹80,000.00 - ₹90,000.00 per month
