Purpose of the job:
The Admin Executive will be responsible for overseeing facility management, housekeeping, event coordination, and employee engagement celebrations. This role requires exceptional organizational skills, attention to detail, and a strong ability to manage vendors and internal stakeholders for seamless daily operations.
Facility & Office Management
- Ensure the office infrastructure, equipment, and utilities are maintained in optimal working condition.
- Liaison with vendors for office supplies, utilities, maintenance, and service agreements.
- Oversee workplace safety, ergonomics, and security compliance.
- Maintain office asset inventory and ensure preventive maintenance schedules are adhered to.
Housekeeping & Hygiene Management
- Supervise housekeeping staff and ensure daily cleanliness and hygiene standards across the premises.
- Coordinate pest control, waste disposal, sanitation, and office cleaning schedules.
- Ensure upkeep of common areas, meeting rooms, and workstations.
Event & Employee Engagement Management
- Organize and manage office events, festivals, annual parties, and celebrations in consultation with the HR Head.
- Partner with the HR team to execute employee engagement activities, fun days, health & wellness drives, and volunteering programs.
- Plan and manage logistics for events, including venue arrangements, décor, refreshments, and tech setups.
Asset Management
- Maintain accurate records of company assets including hardware, furniture, office equipment, and tools.
- Oversee the tagging, issuing, and tracking of assets across departments and project sites.
- Conduct physical verification of assets and ensure alignment with the asset register.
- Manage asset lifecycle: allocation, maintenance, retrieval, and disposal as per company policy.
General Administration
- Manage company courier dispatches, travel desk coordination, logistics, hotel arrangements, petty cash etc.
- Support new joiner onboarding from an admin setup perspective (ID cards, desk readiness, welcome kits).
- Maintain vendor database, contracts, and cost control measures for administrative services.
- Employee general expenses.
Technical/Functional Skills Required
- Strong knowledge of facility & vendor management.
- Excellent organizational and multitasking ability.
- Event planning and execution experience.
- Good negotiation and vendor relationship management.
- Knowledge of workplace health and safety standards.
- Proficiency in MS Office (Excel, Word, PowerPoint).
Pay: ₹15,000.00 - ₹40,000.00 per month
