About the Role
We are seeking an experienced Real Estate Investor Virtual Assistant who has a proven background generating and researching motivated-seller opportunities for U.S. real estate investors.
This is not a general administrative VA position and we are not looking for the normal basic VA applicant.
We are looking for someone who understands how real estate investors find opportunities before they become obvious to the general market.
The primary responsibility will be to consistently identify potentially motivated property owners, thoroughly research the owner and property, organize the information, qualify the opportunity, and deliver actionable leads to the investor.
The investor will primarily handle:
- Seller negotiations
- Offers
- Contracts
- Deal analysis
- Closings
The VA's responsibility is to create a reliable pipeline of well-researched, qualified motivated-seller opportunities.
Our primary focus is single-family residential properties in Florida.
2. TARGET LEAD TYPES
The VA should have experience identifying and researching opportunities involving:

3. PRIMARY RESPONSIBILITIES
The VA will be responsible for:
Lead Generation
Identify motivated-seller opportunities using public records, investor databases, real estate websites, court records, property records, municipal records and other legally available sources.
Property Research
Research each potentially distressed property and create a complete property profile.
Owner Research
Determine:
- Current owner
- Owner mailing address
- Ownership structure
- Individual versus LLC/trust ownership
- Length of ownership
- Homestead status
- Possible absentee ownership
- Possible inherited ownership
- Previous transfers
Distress Research
Identify evidence of possible seller motivation including:
- Foreclosure
- Probate
- Liens
- Judgments
- Delinquent taxes
- Code violations
- Vacancy
- Absentee ownership
- Long-term ownership
- High equity
- Failed listing activity
- Estate ownership
- Landlord fatigue
- Property condition problems
Skip Tracing
Locate accurate contact information for property owners when appropriate, including:
- Phone numbers
- Email addresses
- Mailing addresses
- Possible additional authorized contact information
Lead Organization
Enter and maintain complete information inside the company's CRM or lead-tracking system.
Lead Qualification
Determine which opportunities deserve immediate investor attention.
Daily Reporting
Provide a concise daily report separating:
- Hot leads
- Warm leads
- Follow-up leads
- Newly discovered opportunities
- Leads requiring additional investigation
4. FLORIDA PUBLIC-RECORD RESEARCH SKILLS
This is one of the most important areas of the position.
The VA must already understand—or demonstrate the ability to quickly learn—how to navigate Florida county government databases.
Because Florida records are decentralized, the candidate must be comfortable learning different county systems.
Clerk of Court Research
The VA should be able to locate and interpret information relating to:
- Foreclosure filings
- Lis Pendens
- Probate cases
- Estate cases
- Judgments
- Liens
- Civil cases
- Final judgments
- Mortgage foreclosure actions
- Personal representatives
- Executors
- Administrators
- Court case status
The VA should understand that simply finding a case is not enough.
They must be able to determine:
- Who owns the property
- Who controls the estate
- Whether foreclosure is active
- Where the foreclosure is in the process
- Whether there is a scheduled sale
- Whether the owner appears to still have time to sell

Code Enforcement Research
The VA should understand how to look for:
- Open code violations
- Unsafe structures
- Overgrown properties
- Unpermitted work

These can be strong signs of owner distress.

7. BASIC PROPERTY ANALYSIS SKILLS
The VA should be able to perform preliminary property analysis.
They should understand how to estimate:

They should know the difference between:

- "The tenants stopped paying."
- "I'm tired of being a landlord."
- "The house needs too much work."
- "I live in another state."
- "My parents owned it."
- "We need to settle the estate."

- "I don't want to put more money into it."
- "The Realtor couldn't sell it."
- "I need to sell quickly."
These are situations requiring further qualification—not automatic assumptions that someone will sell.

The VA should be comfortable using AI tools such as ChatGPT to increase productivity.

but quality should come before volume.
From those records, the goal may be to identify approximately:
10–20 higher-quality opportunities
depending upon the source.
The investor should ideally receive only the opportunities deserving closer attention.

33. COMPENSATION PHILOSOPHY
I would prioritize talent over hourly cost.
Consider a structure including:

Competitive enough to attract an experienced U.S. real estate investor VA.
Performance bonus

- Closed transactions
However, structure incentives carefully so the VA is rewarded for quality, not simply creating large numbers of poor-quality leads.
