Job Summary
The Sales Coordinator is responsible for supporting the sales team by preparing quotations, processing customer orders, coordinating with internal departments, maintaining sales records, and ensuring timely communication with customers. The role serves as the primary link between customers and internal teams to ensure smooth order execution and high customer satisfaction.
Key ResponsibilitiesQuotation Management
- Prepare and issue customer quotations based on sales requirements.
- Follow up with customers regarding submitted quotations.
- Revise quotations as per customer requirements and management approvals.
- Maintain a record of all quotations and their status.
Order Processing
- Receive and verify Customer Purchase Orders (POs) and Order Acceptance (OA).
- Create and process sales orders in the ERP system.
- Coordinate with Production, Planning, Stores, Purchase, QA/QC, and Dispatch departments for timely execution.
- Ensure order details are accurate before processing.
Customer Follow-up
- Communicate regularly with customers regarding order status.
- Follow up for pending quotations, purchase orders, payments (when required), and delivery schedules.
- Resolve customer queries by coordinating with the concerned departments.
- Maintain strong customer relationships through timely communication.
Sales Coordination
- Support the sales team in achieving departmental targets.
- Schedule customer meetings and maintain sales documentation.
- Prepare daily, weekly, and monthly sales reports.
- Update customer master data and sales records in the ERP system.
- Maintain proper documentation for quotations, orders, and customer correspondence.
Documentation & MIS
- Maintain accurate sales records and filing systems.
- Generate sales MIS reports and dashboards.
- Ensure compliance with company policies and documentation standards.
Required Qualifications
- Bachelor's degree in Commerce, Business Administration, Marketing, or a related field.
- 1–5 years of experience in Sales Coordination, Sales Support, or Customer Service.
- Experience in a manufacturing or pharmaceutical environment is preferred.

- Proficiency in MS Office (Excel, Word, Outlook).
- Working knowledge of ERP software (SAP, Oracle, Microsoft Dynamics, or similar).
