JOB SUMMARY
The Front Desk cum Admin Executive is responsible for managing the reception area while providing administrative support to ensure efficient office operations. The role serves as the first point of contact for visitors, employees, vendors, and clients and is responsible for coordinating day-to-day administrative activities, facility management, and office support functions.
KEY RESPONSIBILITIES
Front Desk & Reception Management
- Greet and welcome visitors, clients, candidates, and guests professionally.
- Manage visitor registration and ensure compliance with visitor management procedures.
- Handle incoming calls, screen and transfer calls to the appropriate departments.
- Take and relay messages accurately and promptly.
- Maintain a clean, organized, and professional reception area.
- Coordinate meeting room bookings and visitor arrangements.
Administrative Operations
- Provide administrative support to management and various departments as required.
- Maintain and update office records, databases, files, and documentation.
- Handle incoming and outgoing courier services, mail, and deliveries.
- Prepare administrative reports, letters, and correspondence.
- Assist in maintaining company policies, records, and administrative procedures.
Facility & Vendor Management
- Coordinate with housekeeping, security, maintenance, and other service providers.
- Manage office maintenance requirements and ensure a safe and efficient work environment.
- Liaise with vendors for office supplies, repairs, and facility-related services.
- Monitor vendor performance and maintain vendor records and contracts.
Office Administration
- Monitor office supplies, stationery, pantry items, and housekeeping materials.
- Raise purchase requisitions and coordinate procurement activities.
- Ensure adequate stock levels and cost-effective utilization of resources.
- Maintain asset registers and administrative inventories.
Employee Support & Coordination
- Assist employees with administrative and facility-related requirements.
- Support onboarding activities by arranging workstations, access cards, and administrative documentation.
- Coordinate employee travel, accommodation, and logistics arrangements as required.
- Support employee engagement activities, meetings, and company events.
Compliance & Documentation
- Maintain administrative records in accordance with company policies.
- Ensure confidentiality and proper handling of sensitive information.
- Support compliance-related documentation and audits when required.
- Ensure adherence to workplace safety and security procedures.
Qualifications & Experience
- 2–5 years of experience in front desk, administration, office coordination, or related roles.
- Experience in facility management and vendor coordination will be preferred.
