About the Role
We are a multi-entity organization operating across Kerala and Tamil Nadu, managing a workforce of office staff and daily wage workers across seven business units. We are looking for a detail-oriented and proactive HR & Admin Executive to manage human resources operations, ensure statutory compliance, and support payroll processing across all entities.
Key Responsibilities
Recruitment & Onboarding
- Handle end-to-end recruitment — sourcing, screening, interview coordination, and offer management
- Conduct onboarding and induction for new hires across entities
- Prepare offer letters, appointment letters, confirmation letters, and related documentation
HR Administration
- Maintain employee records, personnel files, and HR databases across all entities
- Manage leave records and employee documentation
- Support performance appraisal, probation reviews, and employee evaluation processes
- Handle exit formalities, clearance procedures, and separation documentation
- Address employee queries and provide day-to-day HR support
Attendance & Payroll Coordination
- Review and approve daily wage worker attendance submitted by data entry staff
- Coordinate finalized attendance and leave data for payroll processing
- Generate payslips for office staff and daily wage workers for salary processing by accounts team
- Maintain accurate payroll records and resolve discrepancies
Statutory Compliance
- Ensure compliance with applicable labour laws across all entities
- Manage PF, ESI, and other statutory obligations — registration, contributions, filings, and records
- Stay updated on regulatory changes and ensure organizational adherence
Reporting
- Prepare and submit HR reports, attendance reports, recruitment reports, and payroll summaries to management
- Maintain documentation required for audits and inspections
Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Commerce, or a related field
- MBA (HR) preferred but not mandatory
Experience
- 1–3 years of experience in HR administration or a similar role
- Hands-on experience with statutory compliance (PF, ESI) is mandatory
- Prior experience in a multi-entity or group company setup is an advantage
Skills & Competencies
- Working knowledge of PF, ESI, and applicable labour legislation
- Proficiency in MS Office (Excel, Word, Outlook)
- Strong organizational and documentation skills
- Ability to manage multiple entities and priorities independently
- Discretion in handling confidential employee information
- Effective communication across management and ground-level staff
