About the Role
We are looking for an energetic, creative, and execution-focused Event Coordinator to plan, organize, and deliver seminars, workshops, networking events, guest lectures, industry visits, and institute activities. Reporting to the Event Head, the ideal candidate will own the complete event lifecycle — from ideation and planning through on-site execution and post-event reporting — while representing the institute's brand and standards at every touchpoint.
Key Responsibilities
- Plan, organize, and execute seminars, workshops, networking events, industry interactions, and institute activities end-to-end.
- Develop innovative event concepts and engagement formats aligned with institute goals.
- Coordinate with management, faculty, speakers, students, and internal teams to align on event objectives and logistics.
- Conduct pre-event briefings and rehearsals to ensure every stakeholder is aligned on roles and timelines.
- Manage end-to-end vendor coordination, contracting, logistics, and venue setup.
- Build and maintain strong relationships with vendors, industry professionals, and guest speakers.
- Oversee creation of digital creatives for event promotion — invitations, banners, presentations, and social campaigns — in coordination with the design/marketing team.
- Partner with the Marketing team to ensure timely, on-brand event promotion.
- Lead on-site execution, troubleshoot operational issues in real time, and ensure a seamless attendee experience.
- Prepare post-event reports, budget reconciliations, feedback summaries, and documentation for management review.
- Report event outcomes, learnings, and improvement recommendations to the Event Head.
Key Result Areas (KRAs)
- Number of events successfully executed per quarter, on time and within budget.
- Attendee satisfaction / feedback scores post-event.
- Vendor cost-efficiency and adherence to event budgets.
- Timeliness and quality of event promotion materials and post-event reports.
- Zero/minimal on-site execution escalations.
Skills & Competencies Required
- Excellent communication, networking, and stakeholder-management skills.
- Strong vendor management and negotiation abilities.
- Creative thinking with the ability to conceptualize engaging, on-brand events.
- Solid understanding of event logistics, budgeting, and operational planning.
- Working knowledge of design tools such as Canva for overseeing creatives.
- Strong organizational skills with the ability to multitask and manage multiple events in parallel.
- Calm, solutions-oriented approach under deadline pressure.
- Ability to work independently with minimal supervision.
Qualification & Experience
- Bachelor's degree in Event Management, Marketing, Business Administration, Hospitality, Communications, or a related field.
- 2–6 years of relevant experience in event coordination, event management, or corporate/educational event execution.
Growth Path
Event Coordinator → Senior Event Coordinator → Assistant Event Manager → Event Head, with cross-functional exposure to Marketing and Institute Operations along the way.
Pay: ₹30,000.00 - ₹50,000.00 per month
