Job Summary
The Clinic Floor Coordinator is responsible for ensuring the smooth day-to-day functioning of the clinic floor by coordinating patient flow, supporting clinical and non-clinical staff, maintaining service quality, and ensuring patient satisfaction. The role acts as a link between patients, doctors, nursing staff, reception, pharmacy, laboratory, and administration.
Key Responsibilities
1. Patient Flow Management
- Monitor and coordinate patient movement throughout the clinic.
- Ensure patients are directed to the correct departments and consultation rooms.
- Minimize patient waiting time and address delays proactively.
- Assist elderly, disabled, and special-needs patients.
- Ensure smooth coordination between reception and clinical departments.
2. Patient Experience & Customer Service
- Welcome and assist patients and visitors.
- Handle patient concerns, complaints, and feedback professionally.
- Ensure high standards of patient care and satisfaction.
- Maintain a positive and patient-friendly environment.
- Conduct patient satisfaction follow-ups when required.
3. Department Coordination
- Coordinate activities among:
- Reception & Call Centre
- Nursing Department
- Laboratory
- Pharmacy
- Radiology (X-Ray)
- Physiotherapy
- Dental Department
- Inform relevant departments about emergencies or priority cases.
4. Clinic Operations
- Conduct routine floor rounds to ensure smooth operations.
- Ensure consultation rooms and waiting areas are maintained properly.
- Monitor availability of patient forms and operational supplies.
- Coordinate with maintenance personnel for facility issues.
5. Communication & Reporting
- Report patient complaints and resolutions.
- Maintain records of service issues and corrective actions.
Throughout the Day
- Monitor patient flow.
- Resolve patient concerns.
- Coordinate between departments.
- Ensure cleanliness and discipline on the clinic floor.
End of Day
- Prepare daily floor report.
- Report unresolved concerns to management.
Required Qualifications
- Bachelor's Degree in Hospital Administration, Healthcare Management, Business Administration, or related field.
- Minimum 1–3 years of experience in healthcare operations, customer service, or clinic administration.
- Experience in a hospital or multispecialty clinic is preferred.
