Job Summary
The Assistant to the Director (Interior Designer) will act as the Director's right hand, providing executive, design, and project coordination support. This role requires a creative and organized professional who can assist the Director in managing interior design projects, client interactions, furniture selection, material coordination, site execution, and day-to-day business operations.
The ideal candidate should possess strong interior design knowledge, excellent communication skills, proficiency in design software, advanced Microsoft Excel skills, and the ability to coordinate seamlessly with clients, architects, vendors, and execution teams.
Key Responsibilities1. Executive Assistance
- Manage the Director's daily schedule, appointments, meetings, and travel plans.
- Prepare meeting agendas, MOM (Minutes of Meeting), reports, and presentations.
- Draft professional emails, proposals, quotations, and project correspondence.
- Track action items and ensure timely follow-ups with internal and external stakeholders.
- Maintain confidential business and project-related information.
2. Interior Design Support
- Assist the Director in developing interior design concepts and space planning.
- Prepare furniture layouts, mood boards, material boards, and presentations.
- Support the selection of furniture, fabrics, laminates, veneers, wallpapers, curtains, lighting, flooring, hardware, and décor accessories.
- Review design drawings and ensure alignment with client requirements.
- Stay updated with current interior design trends and premium furniture collections.
3. Client Management
- Attend client meetings with the Director and document requirements.
- Prepare design presentations and project proposals.
- Coordinate design revisions and client approvals.
- Maintain regular communication with clients throughout the project lifecycle.
- Ensure a premium customer experience.
4. Site Coordination & Project Execution
- Conduct site visits and take accurate site measurements.
- Verify dimensions before design finalization and production.
- Coordinate with contractors, production teams, vendors, and installation teams.
- Monitor project progress and report updates to the Director.
- Ensure work execution matches approved drawings and quality standards.
5. Material & Vendor Coordination
- Possess in-depth knowledge of furniture materials, upholstery fabrics, veneers, laminates, plywood, MDF, solid wood, acrylics, glass, metals, stones, and hardware.
- Coordinate with vendors for material selection, quotations, and procurement.
- Ensure timely availability of materials for ongoing projects.
- Maintain vendor databases and product catalogues.
6. Project Documentation
- Prepare BOQs (Bill of Quantities), material specifications, project trackers, and execution schedules.
- Maintain project files, drawings, approvals, and documentation.
- Generate Excel-based MIS reports and project status reports.
- Create client presentations using PowerPoint.
7. Business Coordination
- Coordinate with Sales, Design, Production, Procurement, Installation, Finance, and Customer Service departments.
- Monitor project timelines and ensure on-time execution.
- Support business development initiatives and strategic projects assigned by the Director.
- Assist in showroom planning and premium product display coordination.

Qualifications
- Bachelor's Degree or Diploma in Interior Design, Architecture, or a related field.
Experience
- 2–5 years of experience in Interior Design, Furniture Design, Project Coordination, or as an Assistant to Senior Management in the interior or furniture industry.
