Technology & Operations Audit Executive

About the Role
We are looking for a young and tech-savvy Technology & Operations Audit Executive who will be responsible for auditing and monitoring the organization's digital systems as well as physical operations.
The role will involve regular verification of ERP data, attendance, academic/administrative records, inventory, canteen and kitchen operations, procurement, documentation, and other institutional processes to ensure accuracy, compliance, transparency, and operational efficiency.
The ideal candidate should be comfortable working both on a computer and on the ground, conducting physical inspections, identifying discrepancies, analysing data, and preparing audit reports.
Key Responsibilities
1. ERP & Digital Systems Audit
- Regularly audit ERP entries, records, workflows, and transactions.
- Verify accuracy and completeness of data entered into ERP systems.
- Check attendance, leave, timetable, student/faculty records, fees, inventory, and other relevant ERP modules.
- Identify unusual, incomplete, duplicate, or inconsistent entries.
- Coordinate with concerned departments for correction of discrepancies.
- Prepare periodic ERP audit reports.
2. Physical & Operational Audit
- Conduct regular physical audits across departments and institutional facilities.
- Compare physical records/activities with ERP and digital records.
- Verify whether prescribed SOPs and institutional policies are being followed.
- Identify process gaps, irregularities, wastage, and control weaknesses.
- Document observations with appropriate evidence.
3. Canteen & Kitchen Audit
- Conduct surprise and scheduled inspections of canteen and kitchen operations.
- Verify raw-material purchases, stock, consumption, wastage, and closing inventory.
- Check whether actual consumption is consistent with recorded data.
- Monitor hygiene, cleanliness, food storage, and basic operational compliance.
- Verify vendor bills, purchase records, stock registers, and related documentation.
- Identify wastage, leakage, pilferage, or discrepancies and report them to management.
4. Inventory & Purchase Audit
- Conduct physical verification of inventory, equipment, consumables, and other assets.
- Reconcile physical stock with ERP/system records.
- Check purchase orders, invoices, GRNs, stock entries, and issue records.
- Identify shortages, excess stock, obsolete items, or unusual consumption.
- Assist in periodic stock verification and reconciliation.
5. Data Analysis & Reporting
- Analyse ERP and operational data to identify trends, exceptions, and irregularities.
- Prepare daily/weekly/monthly audit reports.
- Develop simple dashboards and MIS reports using Excel/Google Sheets or other tools.
- Maintain an audit observation tracker and follow up on corrective actions.
- Present important findings to senior management.
6. Compliance & Process Monitoring
- Monitor compliance with institutional SOPs and operational policies.
- Conduct surprise checks wherever required.
- Verify whether departments are following approved processes.
- Maintain proper documentation of audit observations.
- Escalate serious discrepancies, policy violations, or suspected irregularities immediately.
7. Technology-Based Audit
- Use technology and data analysis to make auditing more efficient.
- Explore opportunities for automation of audit checks.
- Identify areas where ERP alerts, dashboards, or automated reports can improve controls.
- Support management in improving digital monitoring and reporting systems.

Required Skills
- Strong Excel / Google Sheets skills.
- Good understanding of ERP systems and databases.
- Basic knowledge of data analysis and MIS reporting.
- Good analytical and problem-solving ability.

- Ability to identify discrepancies between system data and physical reality.
- Good communication and documentation skills.

Education
Mandatory:
- BCA / B.Tech (CSE/IT) or equivalent qualification
