Job Summary
Dimensions is seeking an experienced and highly capable Senior Office Administrator to oversee the overall administration and day-to-day operations of the organization. This is a senior leadership role that requires a professional with a strong background in Civil Engineering and Interior Design, exceptional organizational skills, and the ability to independently manage office operations and business activities.
The ideal candidate will work closely with the Founder, ensuring the smooth functioning of the organization while coordinating with project teams, clients, consultants, contractors, and vendors. In the Founder's absence, the selected candidate will act as the authorized representative for day-to-day operational and administrative matters, ensuring business continuity, effective coordination, and the seamless execution of organizational priorities.
Key Responsibilities
- Oversee and manage all day-to-day office administration and operations.
- Work closely with the Founder to ensure efficient execution of business operations and organizational objectives.
- Coordinate with project managers, site engineers, architects, interior designers, clients, consultants, contractors, and suppliers.
- Monitor project schedules, documentation, approvals, and follow-ups.
- Supervise procurement coordination, vendor management, and administrative processes.
- Maintain confidential company records, contracts, reports, and official correspondence.
- Organize meetings, prepare reports, and ensure effective communication across departments.
- Support management in planning, coordinating, and monitoring civil construction and interior design projects.
- Ensure compliance with company policies, procedures, and operational standards.
- Make informed administrative and operational decisions within the scope of assigned authority.
- Represent the Founder in routine operational and administrative matters during the Founder's absence, ensuring smooth business operations and timely execution of management directives.
Requirements
- Minimum 10+ years of experience is mandatory.
- Strong background in Civil Engineering, Construction, and Interior Design.
- Bachelor's Degree or Diploma in Civil Engineering or a related field is preferred.
- Proven experience in office administration, operations management, or project coordination within the civil construction or interior design industry.
- Strong leadership, communication, negotiation, and organizational skills.
- Proficiency in MS Office (Excel, Word, and PowerPoint).
- Ability to lead teams, manage multiple priorities, and work independently.
- Excellent decision-making, problem-solving, and interpersonal skills.
- High level of integrity, professionalism, and confidentiality.
