About Khari Foods
Khari Foods is a growing FMCG brand focused on healthy snacks, with operations across manufacturing, D2C, e-commerce and quick commerce.
We are looking for an experienced and responsible Dispatch Manager to manage the end-to-end dispatch operations at our Kundli manufacturing plant. The person will be responsible for ensuring that finished goods are dispatched accurately, on time, with proper documentation and in coordination with Production, Warehouse, Accounts, Sales and Logistics teams.
Role Summary
The Dispatch Manager will own the complete dispatch process from receiving the dispatch requirement to vehicle placement, material verification, loading, documentation, vehicle release and delivery tracking.
The role requires strong operational ownership, team handling ability, transporter coordination and attention to detail.
Key Responsibilities1. Dispatch Planning & Execution
- Plan and execute daily dispatches based on customer orders and business requirements.
- Prepare daily dispatch plans and prioritize orders according to urgency and committed timelines.
- Ensure accurate picking, checking, segregation and loading of finished goods.
- Ensure the right SKU, quantity, batch and packaging are dispatched against each order.
- Ensure all dispatches are completed within the defined TAT.
- Coordinate with the warehouse and production teams to ensure product availability before dispatch.
2. Vehicle & Transporter Management
- Coordinate with transporters for timely vehicle placement.
- Ensure appropriate vehicle availability as per dispatch volume and requirement.
- Supervise vehicle loading and ensure proper utilization of vehicle capacity.
- Maintain transporter relationships and coordinate on operational issues.
- Track vehicle movement and proactively follow up on delayed deliveries.
- Support freight and transportation cost optimization.
3. Dispatch Documentation
- Ensure accurate preparation and verification of dispatch-related documents.
- Coordinate with Accounts for invoices, delivery challans and other required documentation.
- Ensure e-way bills and other applicable documents are available before vehicle release.
- Maintain proper records of all dispatched materials and vehicles.
- Ensure documentation is completed without errors to avoid delays or compliance issues.
4. Inventory & Finished Goods Coordination
- Coordinate with the warehouse team for finished-goods availability.
- Ensure stock accuracy before dispatch.
- Follow FIFO principles wherever applicable, particularly for FMCG/food products.
- Coordinate physical stock verification and resolve dispatch-related inventory discrepancies.
- Monitor pending orders and ensure timely closure.
- Coordinate with Production regarding dispatch priorities and finished-goods readiness.
5. Team Management
- Supervise dispatch executives, warehouse/dispatch staff, loaders and other support manpower.
- Allocate daily responsibilities and monitor team productivity.
- Ensure discipline, attendance and proper work practices within the dispatch team.
- Train team members on dispatch processes, documentation and company SOPs.
- Ensure proper handling and loading of finished goods.
6. Delivery Tracking & POD Management
- Track dispatched orders until delivery.
- Coordinate with transporters for delivery updates.
- Ensure timely collection and closure of PODs.
- Identify delayed, short, damaged or failed deliveries and coordinate for resolution.
- Maintain records of returns, shortages, damages and re-dispatches.
7. MIS & Reporting
- Prepare and maintain daily dispatch MIS.
- Track dispatch volume, pending orders, vehicle placement, dispatch TAT and delivery status.
- Maintain records of transporter performance and delivery delays.
- Highlight operational issues and exceptions to management.
- Provide regular reports on dispatch performance and pending activities.
8. Process & Compliance
- Implement and maintain dispatch SOPs.
- Ensure proper documentation and process compliance.
- Maintain cleanliness, safety and discipline in the dispatch/loading area.
- Identify recurring operational issues and suggest process improvements.
- Work towards reducing dispatch errors, delays, damages and unnecessary transportation costs.
Key Performance Indicators (KPIs)
The performance of the Dispatch Manager will primarily be measured on:
- On-time dispatch / Dispatch TAT
- Dispatch accuracy
- Zero/minimum SKU and quantity errors
- Vehicle placement and utilization
- Delivery performance
- POD closure
- Inventory/dispatch reconciliation accuracy
- Reduction in dispatch delays and discrepancies
- Transporter performance
- Team productivity and discipline
- Dispatch documentation accuracy
- Reduction in damages, shortages and returns
Required Experience & Qualification
- Graduate/Diploma in Logistics, Supply Chain, Operations, Commerce or a relevant field.
- 4–7 years of relevant experience in Dispatch, Logistics, Warehouse or Supply Chain Operations.
- Prior experience in FMCG, Food Manufacturing, Consumer Goods or a similar manufacturing environment preferred.
- Experience handling factory/plant-level dispatch operations is strongly preferred.
- Hands-on experience in transporter and vehicle management.
- Experience managing a dispatch/warehouse team.
Required Skills
- Strong knowledge of dispatch and logistics operations.
- Good understanding of inventory and finished-goods movement.
- Strong transporter/vendor coordination skills.
- Good knowledge of dispatch documentation, invoices, delivery challans and e-way bills.
- Good working knowledge of MS Excel / Google Sheets.
- Experience with ERP/warehouse/dispatch software will be an advantage.
- Strong communication and coordination skills.
- Good problem-solving and decision-making ability.
- Ability to work under strict timelines and manage multiple dispatches simultaneously.
- Strong ownership and attention to detail.
Ideal Candidate
We are looking for someone who is hands-on, responsible and operationally strong — someone who can independently manage the dispatch function at the plant rather than only handling paperwork.
The ideal candidate should be comfortable coordinating with production, warehouse, accounts, transporters and internal business teams, while ensuring that every dispatch leaves the plant accurately, on time and with complete documentation.
