# Job Description – Planning Manager (Interior Fit-Out)
The Planning Manager is responsible for leading project planning, scheduling, monitoring, and reporting activities across multiple interior fit-out projects. The role ensures projects are delivered on time, within budget, and in accordance with contractual milestones by implementing effective planning and project control systems. The Planning Manager works closely with project managers, design teams, procurement, commercial, and site execution teams to optimize project performance and mitigate schedule risks.
## Key Responsibilities
### Project Planning & Scheduling
* Develop detailed baseline project schedules using Primavera P6/MS Project.
* Prepare project execution plans, master schedules, milestone schedules, and look-ahead plans.
* Define Work Breakdown Structure (WBS) for all projects.
* Establish project timelines based on scope, resource availability, and contractual requirements.
* Prepare resource-loaded and cost-loaded schedules where applicable.
* Develop recovery and acceleration plans for delayed projects.
### Project Monitoring & Control
* Monitor project progress against approved baseline schedules.
* Track planned vs. actual progress on a weekly and monthly basis.
* Identify delays, critical activities, and potential bottlenecks.
* Conduct schedule variance and critical path analysis.
* Recommend corrective actions to maintain project timelines.
* Ensure timely completion of project milestones.
### Reporting
* Prepare daily, weekly, and monthly project progress reports.
* Develop dashboards and KPI reports for management and clients.
* Present project status during internal and client review meetings.
* Generate S-Curves, Earned Value reports, resource histograms, and progress charts.
* Maintain project planning records and historical data.
### Coordination
* Coordinate with:
* Project Managers
* Design Team
* Procurement Team
* Commercial Team
* Site Engineers
* QA/QC Team
* HSE Team
* Client Representatives
* Consultants
* Ensure planning information is communicated effectively across all stakeholders.
### Resource Planning
* Forecast manpower requirements.
* Prepare equipment and material requirement schedules.
* Monitor resource utilization and productivity.
* Recommend resource optimization strategies.
### Risk Management
* Identify schedule-related risks.
* Develop mitigation and contingency plans.
* Monitor risk register and update mitigation actions.
* Analyze impact of changes on project schedules.
### Delay Analysis & Claims Support
* Prepare Extension of Time (EOT) documentation.
* Conduct delay analysis using recognized methodologies.
* Support commercial team in claims and variation submissions.
* Maintain records supporting contractual obligations.
### Project Controls
* Establish project control procedures.
* Develop progress measurement systems.
* Monitor productivity and project performance indicators.
* Ensure compliance with planning standards and company procedures.
### Client & Consultant Coordination
* Attend project progress meetings.
* Present planning updates and recovery strategies.
* Obtain approvals for revised schedules.
* Address client planning-related concerns.
### Leadership & Team Management
* Lead and mentor planning engineers.
* Allocate planning responsibilities across projects.
* Review planning deliverables before submission.
* Conduct performance reviews and technical guidance.
### Continuous Improvement
* Standardize planning templates and reporting formats.
* Improve planning methodologies.
* Implement digital planning and reporting tools.
* Capture lessons learned for future projects.

# Required Qualifications
* Bachelor's Degree in Civil Engineering, Architecture, Construction Management, or a related discipline.
* PMP certification is preferred.
* Primavera P6 Certification is preferred.
* Additional certifications in Project Controls or Planning are an advantage.

* 15–20 years of experience in planning and project controls.
* Minimum 10 years in interior fit-out, commercial interiors, hospitality, retail, healthcare, or turnkey projects.
* Experience managing multiple fast-track projects simultaneously.
* Proven experience handling projects from tender stage through final handover.
* Experience working with clients, consultants, and contractors.
