Job Overview:
We are looking for a dedicated and organized Receptionist / Front Office Executive to be the welcoming face of our clinic. You will play a pivotal role in creating a positive first impression, managing patient flow efficiently, and ensuring seamless administrative operations.
Key Responsibilities:
- Patient Welcome & Check-in: Greet all patients and visitors warmly and professionally upon arrival.
- Appointment Management: Schedule, confirm, and manage patient appointments for consultations and procedures (Hair Transplant, Skin, etc.) using clinic software.
- Communication Hub: Answer and direct incoming calls, respond to email inquiries, and manage inter-departmental communication.
- Record Keeping: Accurately register new patients, update existing patient information, and maintain meticulous digital and physical records in the clinic's CRM/management software.
- Payment Processing: Handle billing and payment collection (cash, GPay, card when available), issue receipts, and reconcile daily transactions.
- Patient Coordination: Direct patients to appropriate departments/doctors, manage waiting times, and address minor patient concerns or queries.
- Clinic Presentation: Maintain a tidy, organized, and inviting reception and waiting area.
- Sales & Service Support: Provide basic information about clinic services (e.g., Ethiglow Facewash, Hair Transplant packages), and support the Customer Relations Officers (CROs) with lead management.
- Confidentiality: Uphold strict patient confidentiality and data privacy at all times.
Qualifications:
- High School Diploma or Bachelor’s degree.
- Proficiency in computer skills, including MS Office and clinic management software (or ability to learn quickly).
- Excellent verbal and written communication skills in English and Tamil.
- Strong interpersonal skills, with a patient and empathetic approach.
- Ability to multitask, prioritize, and manage time effectively in a busy environment.
