HR & Admin – Roles and Responsibilities
1. Recruitment & Manpower Planning
- Identify manpower requirements for Sales, Service, Parts, CRM, Accounts, and Admin departments.
- Prepare job descriptions and job advertisements.
- Source candidates through job portals, references, and recruitment agencies.
- Schedule and coordinate interviews with Department Heads, GM, and Management.
- Conduct joining formalities and employee induction.
2. Employee Records & Documentation
- Maintain employee personal files and HR records.
- Collect and verify joining documents.
- Maintain employee master data, DOJ, designation, salary, department, and contact details.
- Issue appointment letters, confirmation letters, experience certificates, relieving letters, and other HR documents.
- Maintain employee ID/DMS records.
3. Attendance & Leave Management
- Monitor daily attendance, late coming, absenteeism, and permissions.
- Prepare monthly attendance sheets.
- Maintain leave records and process leave applications.
- Coordinate attendance corrections with department heads.
- Prepare attendance data for payroll processing.
4. Employee Relations
- Handle employee queries, grievances, and workplace concerns.
- Coordinate with Department Heads regarding employee performance and discipline.
- Maintain employee discipline and company policies.
- Conduct employee engagement activities.
- Support management in resolving employee-related issues.
5. Performance & Training
- Coordinate employee performance reviews and appraisals.
- Track probation and confirmation dates.
- Identify training requirements.
- Coordinate product, sales, customer-service, technical, and safety training.
- Maintain training records.
6. Admin Responsibilities
- Manage office administration and day-to-day operational requirements.
- Maintain company assets and employee asset records.
- Coordinate ID cards, uniforms, stationery, housekeeping, security, and office supplies.
- Maintain records of computers, laptops, CCTV access, keys, and other company assets.
- Coordinate maintenance and facility-related activities.
7. Compliance & Statutory Requirements
- Maintain statutory HR records and registers.
- Support compliance with applicable labour laws.
- Coordinate PF, ESI, professional tax, and other statutory requirements.
- Ensure required employee documents and records are properly maintained.
- Coordinate with auditors and consultants when required.
8. Joining & Exit Formalities
- Complete employee joining documentation and induction.
- Allocate employee IDs and system access as required.
- Conduct exit interviews.
- Coordinate resignation acceptance, notice period, clearance, and full & final settlement.
- Collect company assets and ensure proper handover.
- Process relieving and experience certificates.
9. Car Showroom-Specific HR Support
- Maintain manpower records for Sales, Service, Parts, Warranty, CRM, PDI, Accounts, and Admin teams.
- Coordinate manpower requirements based on showroom and workshop workload.
- Track sales/service team attendance and performance-related HR inputs.
- Coordinate manufacturer/dealer training programs where applicable.
- Maintain records required for dealer audits and management reviews.
10. MIS & Reporting
- Prepare daily, weekly, and monthly HR MIS reports.
- Prepare headcount and department-wise manpower reports.
- Prepare attendance, leave, attrition, recruitment, and payroll reports.
- Maintain employee databases and HR trackers.
- Submit HR reports to the HR Head/GM/Management on time.
11. General HR & Admin Support
- Maintain confidentiality of employee and company information.
- Coordinate between employees, Department Heads, HR Head, GM, and Management.
- Ensure HR policies and procedures are followed.
- Support management in implementing new HR initiatives.
- Handle any other HR/Admin responsibilities assigned by Management.
Pay: ₹15,000.00 - ₹25,000.00 per month
