About the Role
We are looking for a highly organized and detail-oriented professional to join us as a Project & Admin Manager with a strong foundation in real estate operations and site coordination. This is a dynamic, multifaceted position that combines office administration, vendor coordination, financial oversight, and hands-on real estate activities — including site supervision, BOQ preparation, and billing management.
The right candidate will bring together administrative excellence and real estate execution capability, ensuring smooth coordination between office functions and site-level activities.
Key Responsibilities
I. Office Management & Administration
- Oversee all incoming and outgoing communication — including emails, calls, and written correspondence — in a professional and timely manner
- Schedule and coordinate meetings, appointments, travel arrangements, and internal calendars
- Draft meeting agendas, record Minutes of Meeting (MOMs), and follow up on action items
- Maintain well-organized documentation systems (both digital and physical) for contracts, client records, and internal files
- Support smooth daily office operations and administrative workflows
- Handle data entry, reporting, and database upkeep with a high degree of accuracy
II. Procurement & Vendor Management
- Plan and implement procurement strategies for materials, services, and site-related requirements
- Identify and evaluate vendors, negotiate terms, and finalize service agreements with a focus on cost efficiency
- Raise and manage purchase orders and track delivery timelines
- Cultivate and sustain strong working relationships with vendors and suppliers
- Track vendor performance against quality benchmarks and project timelines
III. Financial Administration & Expense Management
- Oversee petty cash and maintain precise financial records
- Review and process invoices, bills, and expense claims
- Support budgeting, cost monitoring, and financial reporting activities
- Uphold compliance with the organization's financial policies and procedures
IV. Government & Agency Liaison
- Interface with government and non-government agencies for approvals, permits, and documentation
- Manage regulatory submissions, licenses, and compliance requirements
- Serve as the primary point of contact for official correspondence and communication
- Ensure all filings and submissions are accurate and submitted within required timelines
V. Real Estate Operations & Site Coordination
- Carry out regular site visits to supervise progress and assess on-ground conditions
- Coordinate with contractors, vendors, architects, and site teams to ensure aligned execution
- Review project drawings, layouts, and technical documents to support execution planning
- Prepare and manage Bills of Quantities (BOQs) for ongoing and upcoming projects
- Verify site measurements and ensure billing and invoicing reflect actual work completed
- Track site progress against timelines and maintain quality standards
- Maintain thorough documentation of site activities and provide regular reports to management
- Identify on-site challenges and coordinate prompt resolution with relevant teams
Required Qualifications & Skills
- Bachelor's degree in Business Administration, Real Estate, Civil Engineering, or a related discipline
- 2–6 years of experience in an administrative capacity with exposure to real estate or site operations
- Working knowledge of BOQs, site execution processes, and vendor billing
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Effective negotiation skills and experience in vendor management
- Proficiency in MS Office, Excel, and standard documentation tools
- Comfortable operating in both office-based and field-based environments
- Clear and effective communication and coordination skills
Preferred Background
- Prior experience in real estate, construction, or infrastructure sectors
