The Facilities Manager will be responsible for the efficient operation, maintenance, and safety of all completed properties. This role ensures that buildings remain in optimal condition, comply with regulatory standards, and deliver a high-quality experience for tenants and visitors.
Key Responsibilities
Operations & Maintenance
- Oversee day-to-day facilities operations across all three completed properties
- Develop and implement preventive maintenance schedules for all building systems (HVAC, electrical, plumbing, elevators, fire safety)
- Coordinate and supervise maintenance staff, contractors, and service providers
- Respond promptly to facility emergencies and urgent repair requests
- Maintain accurate records of all maintenance activities, inspections, and repairs
Budget & Vendor Management
- Prepare and manage annual facilities budgets
- Negotiate contracts with vendors, suppliers, and service providers
- Monitor expenses and identify cost-saving opportunities without compromising quality
- Process invoices and ensure timely payment to contractors
Health, Safety & Compliance
- Ensure all properties comply with local building codes, safety regulations, and environmental standards
- Conduct regular safety inspections and risk assessments
- Develop and implement emergency response procedures
- Coordinate fire drills and safety training for staff and tenants
Tenant Relations & Communication
- Serve as the primary point of contact for tenant facility-related inquiries and concerns
- Address and resolve tenant complaints in a timely and professional manner
- Communicate scheduled maintenance activities and service disruptions to tenants
Reporting & Continuous Improvement
- Prepare regular reports on facility performance, maintenance activities, and budget status
- Identify opportunities for operational improvements and energy efficiency
- Stay updated on industry best practices and emerging technologies in facilities management
- Prepare and update the CAM billing statement for each shop or property owner based on the agreed sharing formula.
- Track monthly expenses for security, housekeeping, electricity, water, gardening, repairs, waste management, and other shared services.
- Issue bills on time, maintain payment records, and follow up on pending dues.
- Reconcile collections against actual expenses so there are no billing gaps or overcharging.
- Coordinate with accounts, vendors, and property management teams to support accurate invoices and collections.
- Send reminders, escalate overdue cases, and document all communication with defaulters.
- Keep transparent records so shop owners and property owners can review charges and understand the basis of billing.
Qualifications & Requirements
Education
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field
- Professional certifications (CFM, FMP, or equivalent) preferred
Experience
- Minimum 5 years of experience in facilities management, preferably in real estate or property management
- Proven experience managing multiple properties simultaneously
- Experience with building management systems (BMS) and CAFM software
