Summary: The Facility Manager is responsible for overseeing the efficient and safe operation of commercial properties and facilities. They have a vital role in ensuring that the physical environment meets the needs of tenants, employees, and visitors while complying with all regulations and industry best practices. The Facility Manager is accountable for managing the maintenance, security, and overall functionality of the facilities under their supervision.
Key Responsibilities:
Facility Operations: Develop and implement effective facility management policies and procedures to ensure the smooth running of all operations.
Regularly inspect facilities to identify maintenance issues, safety concerns, or potential improvements.
Oversee maintenance and repair activities, coordinating with vendors and contractors as necessary.
Manage the allocation of space within the facility, ensuring optimal utilization and adherence to lease agreements.
Coordinate moves, renovations, and facility expansions while minimizing disruptions to daily operations.
Engineering operations.
- Should have managed & controlled the Critical Equipment infrastructure operation, uptime and due diligence.
- Managing a team of Skilled and Experience Engineers by mentoring and motivating to achieve desired results.
- Tracking and Ensuring 100% PPM for all engineering equipment’s onsite. Should have proactive maintenance approach.
- Operational projects planning and execution including modification, refurbishment project.
- Preparing engineering budget and Monitoring of Budget versus Spend on monthly basis.
- Preparing site for Audits like Infrastructure Risk, Infosec, ISO 9001, ISO 14001, ISO 45001, ISO 50001, facing audits for successful completion.
- Initiatives for Energy conservation, Carbon Net Zero, sustainability through quality tools and automation.
Budgeting and Cost Control: Prepare and manage the annual facility budget, ensuring cost-effective use of resources.
Monitor expenses, analyse variances, and implement corrective actions as needed.
Support SCM in Source and negotiate contracts with service providers and suppliers to ensure competitive pricing and high-quality services.
Health, Safety, and Environmental Compliance: Maintain a safe working environment, implementing and enforcing health and safety protocols.
Comply with relevant regulations and industry standards, including local building codes and environmental guidelines.
Develop and implement emergency response plans, conducting drills and training to ensure readiness for emergencies.
Tenant and Stakeholder Management: Act as a primary point of contact for tenants, addressing their concerns and ensuring their satisfaction.
Establish and maintain strong relationships with vendors, contractors, and service providers.
Collaborate with internal stakeholders such as property managers, leasing teams, and finance departments to align facility operations with organizational goals.
Sustainability Initiatives: Support sustainable practices and initiatives to enhance energy efficiency, waste management, and environmental stewardship.
Identify opportunities for cost savings through sustainable initiatives and efficient use of resources.
Required Skills and Qualifications:
Bachelor's degree in Facility Management, Engineering, Business Administration, or a related field (or equivalent experience).
Proven experience as a Facility Manager or in a similar role.
Strong knowledge of building systems, maintenance practices, and applicable codes and regulations.
Excellent organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously.
Strong interpersonal and communication skills, with the ability to liaise effectively with stakeholders at all levels.
Budget management and financial analysis capabilities.
Proficiency in computerized maintenance management systems (CMMS) and facility management software.
Knowledge of sustainable practices and experience implementing environmentally friendly initiatives is desirable.
