Job Description – Accounts Executive (Customs Clearance / Logistics)

Reporting To: Accounts Manager / Finance Head Job
Summary: The Accounts Executive will manage day-to-day accounting activities related to customs clearance, freight forwarding, and logistics operations. The role involves handling billing, vendor payments, statutory compliance, and reconciliation of CHA-related transactions.
Key Responsibilities:
1. Billing & Invoicing
- Prepare and issue invoices for CHA services, freight charges, transportation, and reimbursements
- Ensure accurate billing based on Job Files, Shipping Bills, and Bills of Lading
- Handle pure agent billing and ensure compliance with GST rules
- Maintain proper documentation for each job
2. Accounts Payable & Receivable
- Process vendor bills (transporters, shipping lines, port charges, etc.)
- Track receivables and follow up with clients for payments
- Manage advances given for customs clearance expenses
3. Job-wise Accounting
- Maintain job
-wise profitability and expense tracking
- Reconcile job files with actual costs and revenue
- Ensure all expenses are captured before closing jobs
4. Bank & Cash Management
- Handle daily bank entries and reconciliation
- Manage petty cash for operational expenses
- Monitor fund flow for duty payments and port expenses
5. Statutory Compliance
- Ensure compliance with GST, TDS, and other applicable laws
- Handle TDS deduction as applicable
- Assist in GST return filing and reconciliation (GSTR-1, GSTR-3B, etc.)
6. Documentation & Audit Support
- Maintain records of invoices, debit notes, credit notes, and supporting documents
- Assist during internal and statutory audits
- Ensure proper filing of shipping and billing documents
7. Coordination
- Coordinate with operations team for job closure and billing accuracy
- Liaise with clients and vendors for account-related queries
- Work with banks for OD accounts, remittances, and documentation
Required Skills:
- Strong knowledge of accounting principles
- Understanding of custom clearance processes (CHA)
- Knowledge of GST, TDS, and compliance
- Proficiency in Logisys / Tally / Excel
- Attention to detail and accuracy
- Good communication and coordination skills
Qualifications:
- B.Com / M.Com
- 2–5 years of experience in logistics / CHA / freight forwarding industry

Pay: ₹10,522.43 - ₹40,000.00 per month
