About the Role
We are looking for a proactive and hands-on Office Admin & IT Admin to manage the day-to-day administration and IT operations of our Noida office supporting approximately 150 employees.
The person will be responsible for ensuring smooth office functioning, managing vendors and facilities, maintaining office and IT assets, providing first-level IT support, and coordinating with external IT/service providers.
The ideal candidate should be able to work independently, take ownership of issues, and ensure timely resolution of both administrative and IT-related requirements.
Key Responsibilities1. Office Administration
- Manage daily office operations and ensure a well-maintained and productive workplace.
- Manage housekeeping, security, pantry, office supplies and facility-related activities.
- Coordinate with building management, maintenance teams and external vendors.
- Manage office maintenance, electrical, plumbing, AC, furniture and other facility requirements.
- Manage vendor onboarding, quotations, negotiations, purchase orders and service coordination.
- Maintain vendor contracts, AMC records, invoices and related documentation.
- Manage stationery, pantry and general office inventory.
- Maintain records of company assets and their allocation.
- Coordinate courier, logistics, travel and other administrative requirements.
- Support employee onboarding and exit processes from the administration side.
- Ensure required office licenses, registrations, AMC and compliance-related documentation are maintained.
- Identify operational issues proactively and ensure timely resolution.
2. IT Administration
- Provide first-level IT support to approximately 150 employees.
- Manage laptops, desktops, monitors, printers, scanners, networking equipment and other IT assets.
- Handle employee IT onboarding, device allocation, configuration and access requirements.
- Manage IT offboarding, including collection of assets and removal/revocation of access.
- Install and configure operating systems, applications and required software.
- Troubleshoot hardware, software, printer, LAN, Wi-Fi and internet-related issues.
- Manage basic user accounts, email and access permissions.
- Maintain IT asset inventory, allocation records, warranties and AMC details.
- Coordinate with external IT vendors for networking, hardware, software and infrastructure-related issues.
- Monitor internet connectivity, Wi-Fi and basic network infrastructure.
- Ensure antivirus, system updates, security patches and other basic security practices are maintained.
- Maintain software/license records and ensure renewals are completed on time.
- Maintain basic documentation of IT infrastructure, assets, users and vendors.
- Ensure regular backup and basic data-security practices are followed.
3. Vendor & Cost Management
- Manage relationships with IT and non-IT vendors.
- Obtain and compare quotations before purchases wherever applicable.
- Negotiate pricing and service terms with vendors.
- Track AMC, warranties, renewals and service contracts.
- Ensure timely processing of vendor invoices and payments.
- Maintain a centralized vendor database and documentation.
- Identify opportunities to optimize administrative and IT costs.
4. Asset & Inventory Management
- Maintain accurate records of all office and IT assets.
- Track asset allocation, movement, repair and replacement.
- Conduct periodic physical verification of assets.
- Maintain proper records during employee onboarding, transfer and exit.
- Ensure damaged/obsolete assets are properly documented and processed.
Must-Have Skills
- 3–6 years of relevant experience in Office Administration + IT Administration.
- Experience supporting an organization of approximately 100+ employees.
- Good knowledge of Windows, MS Office/Google Workspace and common business applications.
- Basic knowledge of LAN, Wi-Fi, networking, printers and internet troubleshooting.
- Hands-on experience in laptop/desktop hardware and software troubleshooting.
- Experience in IT asset and inventory management.
- Strong vendor management and negotiation skills.
- Good administrative and documentation skills.
- Good communication and interpersonal skills.
- Ability to independently prioritize and resolve day-to-day issues.
- Strong ownership and problem-solving attitude.
Pay: ₹20,000.00 - ₹35,000.00 per month
