Role Summary
The Purchase Executive will be responsible for end-to-end transactional procurement of construction materials, from PR to PO, ensuring the right materials reach the right site at the right time and cost. This role directly supports cost control, material availability, and standardized procurement processes across projects. You will work closely with site teams and vendors to maintain smooth material flow, accurate records, and compliant documentation.
Key Responsibilities
- Receive and verify material indents from project/sites, clarify specifications with site engineers, and convert them into accurate purchase requests.
- Prepare and float RFQs to multiple vendors for civil, finishing, and basic MEP materials; collect, tabulate, and compare quotations (comparative statements).
- Support rate finalization and vendor selection with the senior purchase/management team, ensuring alignment with budget, quality, and delivery requirements.
- Prepare and issue purchase orders (POs), track order status, and follow up with vendors and logistics for on-time deliveries to multiple project sites.
- Coordinate with site stores/engineers for GRN support, quantity/quality confirmation, and resolution of delivery discrepancies or rejections.
- Maintain up-to-date purchase registers, price lists, and vendor records in Excel and/or ERP; share regular MIS reports with management and accounts.
- Liaise with accounts for invoice verification, supporting documents (PO, GRN, delivery challans), and basic compliance with internal SOPs and audit requirements.
Must Have
Essential requirements
- 1-2 years of experience in construction or real estate procurement, preferably with a contractor or developer in India
- Hands-on experience in raising purchase requests, preparing request for quotations (RFQs), and issuing purchase orders (POs) for construction materials
- Basic understanding of common civil and finishing materials (cement, steel, aggregates, blocks, tiles, sanitary, electrical items, etc.) and their standard specifications
- Strong skills in preparing and comparing quotations (comparative statements) and supporting rate finalization with the senior purchase/management team
- Proficiency in MS Excel for maintaining purchase registers, tracking deliveries, and basic data analysis
- Ability to coordinate with site teams, vendors, and accounts for delivery follow-ups, GRN support, and invoice documentation
- Good written and verbal communication skills in English and Hindi/Telugu for vendor and internal coordination

Bonus qualifications
- Prior experience in centralized procurement for multi-project construction setups
- Exposure to basic contract terms, payment terms, and taxation concepts (GST, TDS) related to purchase
- Experience in vendor development and maintaining vendor databases for different material categories
- Familiarity with ISO or internal SOP-based procurement processes and documentation
- Experience working with ERP-based procurement modules in a construction or real estate company
