At Progenesis IVF, we are dedicated to helping couples overcome infertility challenges with advanced treatments and compassionate care. We are looking for a dynamic Telecalling Executive to support patient engagement and drive appointments.
Key Responsibilities
- Lead Management & Response
- Attend and respond to all leads (POP-ups, calls, inquiries) within 60 minutes.
- Prioritize high-intent leads and ensure quick conversion.
- Daily Coordination
- Check daily OPD schedules of all doctors.
- Stay updated on upcoming offers, campaigns, and TV interviews (weekly planning).
- Patient Interaction & Data Collection
- Call patients and understand their concerns with empathy.
- Accurately collect and update patient details in BI:
- Name, DOB (husband & wife), marriage date, city
- Primary & alternate contact number (mandatory)
- Source of information about the hospital
- Appointment Conversion
- Convert leads into Online Consultations or Walk-in Appointments.
- Schedule appointments in HMS with correct date, time, and center.
- Share confirmation via WhatsApp/SMS along with address and relevant videos.
- Follow-ups & Reminders
- Conduct reminder calls:
- 1 day prior (10:00 AM – 12:00 PM)
- Same day (9:00 AM – 10:00 AM)
- Attempt minimum 4 call attempts at different times if not reachable.
- Call Handling & Documentation
- Maintain proper call records in BI.
- Fill Telecalling Form after each call with:
- Calling Status, Important Status, Notes, Patient Intent, Locality
- Patient-Centric Approach
- Avoid forceful selling; understand patient concerns and guide them appropriately.
- Provide solutions and build trust to encourage visits.
Targets & KPIs
- Daily call handling: 80–120 calls
- Lead response TAT: Within 60 minutes
- Appointment booking target: 15–25 per week
- Conversion ratio: 20–30% (lead to appointment)
- Follow-up adherence: 100%
Required Skills
- Excellent communication skills (Hindi, English, Marathi preferred)
- Strong convincing and counseling ability
- Basic computer knowledge (CRM/BI/HMS systems)
- Patient handling with empathy and professionalism
- Ability to work in a target-driven environment
Preferred Experience
- 1–3 years in Telecalling / Healthcare / IVF / Hospital background
- Freshers with strong communication skills can also apply
