Job Description – Executive Assistant to the Managing Director
Role Summary
The Executive Assistant to the Managing Director will serve as a trusted partner and strategic coordinator, ensuring the seamless execution of the Managing Director's priorities. The role requires exceptional organizational skills, business acumen, professionalism, and the ability to coordinate effectively across all departments. The incumbent will represent the Managing Director internally and externally, ensuring clear communication, timely follow-ups, and flawless execution while maintaining the highest standards of confidentiality.
Key Responsibilities
- Manage the Managing Director's calendar, meetings, appointments, travel plans, and daily schedule to maximize productivity.
- Act as the central point of coordination between the Managing Director and all internal departments, ensuring timely execution of business priorities.
- Represent the Managing Director professionally in interactions with employees, leadership teams, clients, vendors, and business partners.
- Ensure accurate communication of the Managing Director's instructions and follow up with stakeholders until completion.
- Coordinate cross-functional projects, monitor progress, and ensure deadlines and commitments are met.
- Prepare presentations, reports, meeting agendas, Minutes of Meeting (MoMs), executive summaries, and business documentation.
- Screen, prioritize, and manage incoming communications, approvals, and requests requiring the Managing Director's attention.
- Organize domestic and international travel, accommodation, itineraries, and logistics.
- Handle highly confidential business information, executive correspondence, financial data, and strategic documents with absolute discretion.
- Proactively anticipate requirements, identify potential challenges, and resolve issues before they impact business operations.
- Support the Managing Director with strategic initiatives, special projects, and business-critical assignments.
- Build strong relationships across departments and ensure effective collaboration, accountability, and execution of organizational objectives.
Experience
- 5–10 years of experience as an Executive Assistant, Executive Coordinator, Executive Secretary, Chief of Staff, or in a similar executive support role.
- Prior experience supporting a Managing Director, CEO, Founder, Chairman, or other senior leadership executives is mandatory.
- Proven experience in coordinating with multiple departments and driving timely execution of business priorities.
- Experience in handling confidential business information and executive-level communications.
- Experience in managing executive calendars, travel, meetings, and high-priority business assignments.
- Experience working in a fast-paced, dynamic, and professional corporate environment.
