The Executive Assistant will work closely with the Joint CEO and act as a key coordination
and execution support function. The role demands exceptional follow-up skills, strong
communication ability, and high ownership in driving daily operational priorities.
This position is critical in ensuring timely execution, internal coordination, and
communication discipline across departments.
1. Executive Support
Manage and maintain the Joint CEO’s calendar, meetings, and schedules
Prepare agendas, briefing notes, and supporting documents
Draft professional emails, internal communications, and reports
2. Follow-ups & Coordination (Core Responsibility)
Ensure strict follow-ups on assigned tasks across departments
Track progress of ongoing projects and report status regularly
Send reminders, escalate delays, and ensure closure of action points
3. Meeting Management
Schedule, organize, and coordinate internal and external meetings
Prepare accurate Minutes of Meeting (MoM) and circulate them promptly
Monitor execution of action items discussed in meetings
4. Communication & Stakeholder Management
Coordinate with internal teams (engineering, production, accounts, etc.)
Interface with external stakeholders when required
Maintain professional communication across all levels of the organization
5. Documentation & Reporting
Maintain records, reports, trackers, and MIS data
Work extensively on MS Excel and Word for reporting and tracking
Ensure proper documentation and filing systems
Key Skills & Competencies
Excellent follow-up and execution discipline (most critical requirement)
Strong command of written and spoken English
Proficiency in MS Office (Excel, Word, Outlook)
Ability to handle pressure and multitask effectively
Strong interpersonal skills and confidence to interact across hierarchy
High level of accountability, ownership, and professionalism
Eligibility Criteria
Prior experience as an Executive Assistant / Office Coordinator to MD/CEO
Experience in organizations with ₹50+ crore turnover preferred
Minimum 3–7 years of relevant experience
