Position Overview
We are looking for a smart, organized, proactive, and highly professional Personal Secretary to the Managing Director. The ideal candidate will be responsible for managing the MD’s schedule, appointments, communications, meetings, documentation, and day-to-day administrative activities efficiently and confidentially.
Key Responsibilities
· Manage the Managing Director’s daily schedule, appointments, meetings, and calendar.
· Coordinate and organize internal and external meetings.
· Manage the MD’s travel plans, schedules, and related arrangements.
· Handle emails, calls, correspondence, and communications on behalf of the MD.
· Prepare reports, presentations, letters, meeting documents, and other official documents as required.
· Coordinate with internal departments, clients, vendors, and external stakeholders.
· Organize meetings, conferences, events, and other official activities.
· Maintain proper records, documents, and confidential information.
· Track meeting discussions, action points, and pending tasks and ensure timely follow-up.
· Assist the MD in monitoring important assignments and deadlines.
· Support the MD in strategic initiatives, special projects, and business-related activities.
· Handle sensitive and confidential information with a high level of professionalism.
· Perform other administrative and coordination responsibilities assigned by the MD.
Qualifications & Skills
· Any Graduate / Post Graduate qualification preferred.
· 2–5 years of experience as a Personal Secretary, Executive Assistant, Secretary, Office Administrator, or similar role.
· Excellent English communication skills – both written and spoken.
· Good knowledge of Hindi will be an added advantage.
· Strong proficiency in MS Office – Word, Excel, PowerPoint, and Outlook.
· Excellent organizational and time-management skills.
· Ability to handle multiple tasks and prioritize effectively.
· Strong coordination, interpersonal, and communication skills.
· Pleasant personality with a positive and professional attitude.
· Ability to work independently and take initiative.
· High level of discretion, confidentiality, and professionalism.
· Willingness to coordinate with different teams and stakeholders as required.
Preferred Candidate Profile
We are looking for someone who is well-presented, responsible, proactive, trustworthy, and capable of working closely with senior management. The candidate should be comfortable handling confidential matters and managing multiple priorities in a fast-paced work environment.· Immediate joiners preferred
Pay: ₹360,000.00 - ₹480,000.00 per year
