We are seeking a professional and organized Receptionist / Office Administrator to manage front-desk operations and provide administrative support. The ideal candidate will serve as the first point of contact for visitors, clients, and employees while ensuring the smooth day-to-day functioning of the office.
Key Responsibilities Reception Duties
- Greet and assist visitors, clients, and vendors in a courteous manner.
- Answer, screen, and direct incoming phone calls.
- Manage visitor logs and maintain security procedures.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain a clean, welcoming, and professional reception area.
Office Administration
- Manage office supplies inventory and place orders when necessary.
- Support document preparation, filing, scanning, and data entry.
- Assist with travel arrangements and meeting coordination.
- Maintain office records, databases, and administrative files.
- Coordinate maintenance requests and liaise with service providers.
Customer Service & Communication
- Respond to inquiries via phone, email, and in person.
- Provide information regarding services offered
- Assist management and staff with administrative tasks as required.
- Ensure timely communication between departments and external stakeholders.
Qualifications
- Bachelor's degree in any discipline.
- Previous experience as a receptionist, front desk executive, or office administrator preferred.
- Proficiency in English
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Professional appearance and customer-focused attitude.
