About the Role:
We are seeking a proactive and organized Executive Assistant to support our executive team. Flexibility in your work environment. However, the candidate should be prepared to travel periodically for important in-person meetings and events.
Administrative Support:
- Manage the Director’s calendar, schedule meetings, and coordinate appointments.
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Prepare and edit documents, presentations, and reports for the Director.
Meeting Coordination:
- Organize and coordinate meetings, conferences, and events, including arranging logistics, preparing agendas, and taking minutes.
- Follow up on action items and ensure timely completion of tasks.
Project Management:
- Assist with project planning and coordination, including tracking project milestones and deadlines.
- Prepare project documentation and ensure all materials are organized and up-to-date.
Research and Analysis:
- Conduct research on environmental topics and compile information for reports and presentations.
- Analyze data and prepare summaries or reports as needed.
Client and Stakeholder Interaction:
- Act as a liaison between the Director and clients, stakeholders, and other departments.
- Handle inquiries and provide information as needed, ensuring a professional and courteous interaction.
Office Management:
- Oversee office operations and ensure that all administrative processes run smoothly.
- Manage office supplies and equipment, and coordinate with vendors as necessary.
Travel Coordination and Requirements:
- Arrange travel plans for the Director, including booking flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all travel-related needs are met.
- Travel as required to attend meetings, conferences, and other events on behalf of the Director.
Handling Overseas Office:
- Support and manage administrative tasks related to the overseas office, including coordination with international teams.
- Assist with logistics and communication for international projects and events.
Confidentiality and Compliance:
- Handle sensitive information with discretion and ensure confidentiality is maintained.
- Ensure compliance with company policies and environmental regulations.
Event Planning:
- Assist in planning and executing company events, workshops, and seminars related to environment Science.
Reporting and Documentation:
- Maintain accurate records and documentation related to the Director’s projects and activities.
- Prepare and review reports and documentation for accuracy and completeness.
Office Coordination:
- Coordinate with other administrative staff and departments to ensure smooth operations.
- Assist in the onboarding of new staff and support training initiatives as needed.
Budget and Expense Management:
- Assist with budget tracking and expense reporting for the Director’s projects and travel.
- Ensure that expenses are documented and processed in accordance with company policies.
Language and Documentation:
- Fluent in English, both written and spoken, is compulsory for effective communication and documentation.
- Possess a valid passport and be prepared for international travel as an added advantage.
Education and Experience:
- Bachelor from an accredited university is required.
- M.Sc (Environment) preferred.

Job Type: Full-time
Pay: ₹250,000.00 - ₹410,000.00 per year
