We are looking for an experienced and proactive Admin and Facilities Executive with a strong Civil Engineering background to oversee facility operations, infrastructure maintenance, vendor management, and workplace upkeep. The ideal candidate should have hands-on experience in civil maintenance, building management, repair works, project coordination, and administration of commercial facilities.
The candidate will be responsible for ensuring smooth day-to-day facility operations, preventive maintenance, compliance, safety standards, and coordination with internal teams and external vendors.
Key Responsibilities
· Oversee overall facility management and building maintenance activities
· Manage civil maintenance works including plumbing, painting, carpentry, flooring, waterproofing, and structural repairs
· Coordinate with vendors, contractors, and service providers for AMC and maintenance activities
· Negotiate contracts with vendors and suppliers to obtain competitive pricing.
· Address and resolve issues related to office infrastructure, utilities, and workplace amenities.
· Ensure proper functioning of electrical, HVAC, fire safety, and utility systems
· Monitor office infrastructure, housekeeping, security, and workplace safety standards
· Handle preventive and breakdown maintenance activities
· Supervise renovation, fit-out, and interior projects when required
· Maintain facility records, maintenance schedules, invoices, and compliance documentation
· Conduct regular facility inspections and identify improvement areas
· Ensure adherence to safety regulations and statutory compliance
· Manage budgets, quotations, and cost optimization for facility operations
· Coordinate with admin and operations teams for smooth workplace management
Required Skills & Qualifications
- Bachelor’s Degree/Diploma in Civil Engineering or related field
- 2+ years of experience in Facility Management / Civil Maintenance
- Strong knowledge of civil works, building maintenance, infrastructure management, and vendor coordination
- Experience in commercial office facility management preferred
- Knowledge of preventive maintenance and safety compliance
- Good communication and team coordination skills
- Proficiency in MS Office and maintenance documentation
