Role Overview
GeoExpOre Pvt. Ltd. is looking for a responsible and detail-oriented Accounts & Admin Executive to manage day-to-day accounting, administrative coordination, documentation, vendor coordination, and office support activities.
The role requires a disciplined professional who can maintain accurate financial records, support statutory compliance, coordinate with project teams, and ensure smooth administrative operations for the company.
Key Responsibilities1. Accounts & Finance
- Maintain day-to-day books of accounts.
- Prepare and record purchase entries, sales entries, journal entries, payment entries, and receipt entries.
- Handle petty cash management and maintain proper records.
- Prepare invoices, quotations, payment requests, and basic financial statements.
- Follow up on receivables and coordinate with clients for payments.
- Coordinate with vendors for bills, payments, and reconciliations.
- Maintain expense records for office and project-related activities.
- Support bank reconciliation and ledger reconciliation.
- Assist in GST, TDS, PF, ESI, Professional Tax, and other statutory compliance documentation.
- Coordinate with the company’s CA / auditor for monthly, quarterly, and annual filings.
- Maintain proper filing of invoices, vouchers, challans, purchase orders, work orders, and receipts.
2. Administration
- Manage general office administration and day-to-day office operations.
- Maintain office records, registers, agreements, licenses, and company documents.
- Coordinate travel bookings, hotel arrangements, vehicle arrangements, and logistics for management and project teams.
- Support procurement of office supplies, equipment, stationery, and project-related consumables.
- Coordinate with vendors, service providers, consultants, and government departments where required.
- Maintain attendance, leave records, and basic HR documentation.
- Support onboarding documentation for new employees and consultants.
- Ensure proper documentation of company assets, laptops, instruments, and field equipment.
- Coordinate courier, dispatch, scanning, printing, and filing activities.
3. Project & Field Support
- Coordinate with field teams for bills, travel claims, project expenses, and supporting documents.
- Maintain project-wise expense records.
- Support preparation and submission of project-related administrative documents.
- Assist in documentation for government, mining, exploration, and consultancy projects.
- Coordinate with project managers for work orders, purchase orders, invoices, and payment tracking.
- Ensure timely collection and filing of supporting documents from field staff.
Required Skills
- Good knowledge of accounting principles.
- Working knowledge of Tally / Zoho Books / QuickBooks or similar accounting software.
- Basic understanding of GST, TDS, invoicing, and statutory documentation.
- Proficiency in MS Excel, Word, Google Sheets, and email communication.
- Strong documentation and filing discipline.
- Good communication and coordination skills.
- Ability to follow up professionally with vendors, clients, and internal teams.
- High level of integrity, confidentiality, and ownership.
- Ability to work in a fast-paced project-based environment.
Qualification
- B.Com / M.Com / MBA Finance / Diploma in Accounting or equivalent.
- Additional certification in Tally, GST, or taxation will be preferred.
Experience
- 2 years of relevant experience in accounts and administration.
- Experience in engineering, mining, exploration, consulting, infrastructure, or project-based companies will be an added advantage.

Pay: ₹22,000.00 - ₹25,000.00 per month
