Responsible for providing high level executive support including diverse calendar Management with quick evolving priorities. Also support work with IR, Finance, Business Development & Administrative teams. Conduct & follow meeting .Responsible for helping to create or change, implement, and enforce accounting policies and procedures as required to maintain the financial health of the Organization.
JOB REPOSIBILITIES
· Plan Pre-Defined Meeting & Events Monthly Quarterly & Yearly
· Occasional Planning – weekly / Monthly.
· Daily short meeting with Director on daily schedules.
· Remind important work as per priority.
· Execute & Plan travel plan as per priorities work.
· Plan & Schedule appointments & Meetings ( Personal & Official)
· Analyze the appointment priorities & discuss with Director and schedule and inform the updates.
· Send finalized appointments details through call/mail/sms.
· Update Calendar & dairy regarding meeting.
· Ensure Director availabity for meeting on or before time.
· Preparation of agendas based on meeting.
· Coordinate with concern persons about meeting.
· Make appropriate arrangements of meeting (stationary requirements, snacks, drinks etc.)
· Keep proper record of meeting minutes, and follow up the decisions and implementation done.
· Respond to department enquiries properly after confirmation with Director.
· Reply to mails/calls on behalf of Director with approval.
· Enquire the needs & requirements of Director guests & Visitors.
· Pass information to branches & other department on behalf of Director with Approval.
· Follow up with report collection and reminds on pending updates.
- Co-ordination with Branches & other departments
· Ensure scheduled meeting messages are forwarded through whatsapp/mail.
· Give reminder calls and Pass meeting Agendas.
· Ensure meeting arrangements.
· Ensure attendees before meeting.
· Ensure Director presence on or before time of meeting.
- Relationship with Financial Institutions & Statutory Departments
· Update the Financial institutions & Statutory Department list with concern
2. EDUCATION AND EXPERIENCE
· High school degree/bachelor’s degree in Administration or related field.
· Proven administration or assistant experience
· Knowledge of office management systems and procedures.
