Roles & Responsibilities
- Ensure event execution is delivered exactly as per the approved design, coordinating with CSE and the client directly for any on-site clarifications or last-minute changes.
- Once the design is finalized, prepare and cross-check a detailed material checklist (decor items, props, quantities, fabrication requirements) before procurement and dispatch.
- Identify, engage, and manage external vendors (lighting, sound, catering, florists, rentals, transport, etc.) whenever an event requires resources beyond in-house capability.
- Coordinate vendor timelines, quality, and on-site delivery, ensuring all vendor work aligns with the approved design and event schedule.
- Lead on-site setup and dismantling, directing site labour and ensuring tasks are completed promptly, safely, and to the expected quality — stepping in personally to keep labour motivated and on schedule when needed.
- Attend the mandatory pre-event coordination meeting with CSE and Design to finalize the Run-of-Show and execution plan.
- Manage logistics end-to-end: loading/unloading, transport, on-site storage, and timely material availability.
- Troubleshoot on-ground issues in real time, especially during peak season when multiple events may run in parallel or back-to-back.
- Ensure safe dismantling and return of materials post-event, and report any damage or shortages.
- Maintain safety standards and discipline on-site throughout setup, execution, and breakdown.
- Track material stock/inventory usage across events and flag replenishment needs in advance.
