Job Description: Admin Executive (Sales Support & Customer Coordination)

1. Position Overview
The Admin Executive will provide comprehensive administrative and sales support to ensuresmooth coordination between customers and internal teams. The role involves preparing accurate sales quotations, mana ging customer follow ups, maintaining professional communication, and supporting documentation and reporting activities. The position requires strong MS Office proficiency, excellent communication skills, and a high level of organizational discipline.
2.Key Responsibilities
A. Sales Support & Quotation Management
- Prepare and format sales quotations based on inputs from Sales, Technical, and Management teams.
- Ensure accuracy in pricing, taxes, terms, product specifications, and commercial conditions.
- Maintain quotation registers, track quotation validity, and follow up for approvals.
- Coordinate with internal teams for timely submission of quotations and related documents.
B. Customer Coordination & Followup
- Conduct regular follow ups with customers regardi ng quotations, pending responses, and order confirmations.
- Address customer queries promptly and professionally through email and phone communication.
- Maintain updated customer interaction logs and share periodic status reports with management.
- Support cus tomer onboarding documentation where required.
C. Email Communication & Documentation Control
- Draft clear, professional, and well‑structured emails for customer communication.
- Maintain organized digital records of quotations, correspondence, and customer documents.
- Assist in preparing official letters, reports, and internal communication notes.
- Ensure confidentiality and accuracy in all documentation.
D. Administrative & Coordination Support
- Assist in preparing MIS reports, sales trackers, and performance summaries.
- Coordinate with Accounts, Operations, Warehouse, and Procurement teams for order processing and dispatch updates.
- Manage basic office administration tasks such as filing, data entry, courier coordination, and record maintenance.
- Support Zoho Books data entry and updates with respect to Quotes & Sales Orders.
3. Skills & Competencies
- Strong proficiency in MS Office (Excel, Word, Outlook).
- Excellent written and verbal communication skills.
- Good understanding of sales processes and customer service etiquette.
- High attention to detail, accuracy, and documentation discipline.
- Ability to multitask, prioritize, and manage time effectively.
- Professional email etiquette and customer‑centric approach.
- Positive attitude, willingness to learn, and ability to work collaboratively.
4. Qualifications & Experience
- Bachelor’s degree (B.Com, BBA, BA or equivalent).
- 1–4 years of experience in Administration, Sales Coordination, or Customer Support.
- Experience in quotation preparation or sales documentation will be an added advantage.

Pay: ₹25,000.00 - ₹32,000.00 per month
