Job Summary
The Billing Executive is responsible for preparing and processing invoices for building maintenance services, verifying work completion records, coordinating with clients and internal teams, maintaining billing documentation, and ensuring timely submission of invoices and payment follow-up. The role supports accurate financial reporting and compliance with contractual agreements.
Key ResponsibilitiesBilling & Invoicing
- Prepare and submit monthly maintenance invoices as per contract terms.
- Verify work orders, service reports, attendance records, and supporting documents before billing.
- Generate invoices for AMC, preventive maintenance, breakdown services, and additional works.
- Ensure timely billing in accordance with client requirements and payment schedules.
Documentation & Record Management
- Maintain accurate billing records, invoices, purchase orders, work orders, and supporting documents.
- Track billing status, payment receipts, and outstanding invoices.
- Maintain client-wise and contract-wise billing records.
Client Coordination
- Coordinate with clients for invoice submission, approvals, and payment follow-up.
- Respond to client queries related to invoices and billing discrepancies.
- Support contract renewals by providing billing and payment history.
Internal Coordination
- Work closely with maintenance engineers, supervisors, procurement, and finance teams to obtain required billing information.
- Verify completion certificates and job reports before invoice preparation.
- Coordinate with subcontractors for bill verification and processing.
Payment Follow-up
- Monitor accounts receivable and follow up on outstanding payments.
- Prepare aging reports and payment status updates.
- Assist the finance team in reconciliation of invoices and receipts.
Reporting
- Prepare monthly billing reports, MIS reports, and revenue summaries.
- Maintain records of variations, additional works, and approved claims.
- Support internal and external audits by providing billing documentation.
Compliance
- Ensure billing complies with contract terms, company policies, and applicable tax regulations.
- Maintain confidentiality of financial and client information.
Qualifications
- Bachelor's degree in Commerce, Business Administration, Finance.
- Diploma or certification in Accounting, Billing, or Facility Management is an advantage.
Experience
- 2–5 years of experience in billing, invoicing, or accounts within building maintenance, facility management, or construction.
- Experience with AMC and facility management billing is preferred.
Pay: ₹20,000.00 - ₹25,000.00 per month
