Position Summary
We are seeking a highly organized and detail-oriented Legal Secretary to provide administrative and secretarial support to the legal and management teams. The ideal candidate will assist in managing legal documentation, regulatory filings, contract administration, compliance records, and communication with external legal advisors while maintaining strict confidentiality.
Key Responsibilities
- Draft, format, review, and maintain legal documents, agreements, notices, and correspondence.
- Organize and manage legal files, contracts, licenses, permits, and compliance records.
- Coordinate with external lawyers, consultants, government authorities, and regulatory bodies.
- Schedule meetings, prepare agendas, record minutes, and track action items.
- Assist in preparing documentation for company registrations, certifications, intellectual property matters, and statutory filings.
- Maintain a contract database and monitor renewal dates, obligations, and compliance requirements.
- Conduct basic legal research and compile relevant information for management review.
- Ensure proper document control, version management, and secure storage of confidential information.
- Support the legal team in handling litigation, arbitration, and dispute-related documentation when required.
- Assist with corporate governance activities, board meetings, and regulatory compliance processes.
Qualifications & Skills
- Bachelor's degree in Law, Business Administration, Commerce, or a related field.
- Diploma or certification in Legal Secretarial Practice is preferred.
- 2–5 years of experience in a legal secretary, legal assistant, or corporate secretarial role.
- Strong knowledge of legal documentation, corporate compliance, and administrative procedures.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, multitasking, and time-management abilities.
- High level of discretion and ability to handle confidential information.
- Experience working with manufacturing, automotive, EV, or technology companies is an advantage.
