Designation: Admin Manager
Department: Administration
Reporting to: General Manager
Job Summary:-
The Admin Manager is responsible for overseeing the overall administrative operations of the organization, ensuring smooth functioning of office and facility management, compliance, security, and support services. The role involves efficient resource management, vendor coordination, and maintaining a safe, well-organized work environment.
Key Responsibilities: -
1. Office Administration & Facility Management
- Manage day-to-day administrative operations of office and factory premises.
- Ensure cleanliness, maintenance, and proper functioning of infrastructure.
- Coordinate maintenance activities including civil, electrical, and plumbing works.
- Obtain and evaluate quotations for construction, renovation, and repair works.
2. Stationery & Inventory Management
- Maintain stationery stock and ensure availability at all times.
- Keep accurate records of stationery usage and stock (Stationery Register).
- Maintain proper documentation of stationery purchase bills.
3. Vendor Management & Procurement
- Identify and finalize vendors for administrative requirements.
- Obtain comparative quotations and ensure cost-effective procurement.
- Monitor vendor performance and service quality.
4. Petty Cash Management
- Act as custodian of petty cash.
- Maintain records of expenses and ensure proper documentation.
- Perform periodic reconciliation of petty cash.
5. Compliance & Licensing
- Ensure timely renewal of factory license and other statutory compliances.
- Maintain records of licenses, approvals, and regulatory documents.
- Liaise with government authorities and external agencies when required.
6. Coordination & Liaisoning
- Coordinate with various departments for administrative support.
- Act as a point of contact between internal teams and external vendors.
7. Security & Surveillance
- Supervise security operations and personnel.
- Verify in/out registers, visitor logs, and gate entry records.
- Ensure proper functioning of surveillance systems (CCTV).
8. Safety Management
- Ensure proper functioning of fire safety systems and equipment.
- Conduct periodic safety inspections and fire drills.
- Maintain compliance with safety regulations.
9. Uniform & Employee Facilities
- Manage procurement and distribution of employee uniforms.
- Ensure quality and timely availability.
- Oversee employee facilities such as drinking water, seating, and hygiene.
10. Documentation & Reporting
- Maintain records of all administrative activities.
- Prepare periodic reports related to admin functions.
- Ensure proper filing and documentation systems.
11. System Usage
- Use MS Excel and other tools for reporting and tracking.
- Maintain digital records with accuracy and confidentiality.
12. General Responsibilities
- Support company events and administrative requirements.
- Monitor utility consumption and control costs.
- Handle accommodation, and other related arrangements when required.

Qualifications & Skills
- Bachelor’s Degree in any discipline (Administration/Management preferred)
- Proven experience in administrative or facility management roles
- Good knowledge of statutory compliance and licensing
- Proficiency in MS Excel and MS Office
- Strong organizational and multitasking skills
- Good communication and negotiation skills.
Experience Required
- Minimum 3–5 years of experience in administration or facility management.

Job Types: Full-time, Permanent
Pay: ₹35,000.00 - ₹45,000.00 per month
