Job Summary
A Front Office Executive is responsible for managing the reception area, welcoming visitors, handling inquiries, coordinating communication, and providing administrative support to ensure smooth day-to-day office operations.
Key Responsibilities
- Greet and assist visitors, clients, and guests professionally.
- Manage incoming and outgoing phone calls, emails, and correspondence.
- Maintain visitor records and issue visitor passes when required.
- Schedule appointments, meetings, and conference room bookings.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain front desk cleanliness and organization.
- Provide basic information about the company, products, or services.
- Coordinate with different departments to address visitor and employee requests.
- Manage office supplies and place orders when necessary.
- Maintain records, files, and databases accurately.
- Assist with administrative and clerical tasks as assigned.
- Handle customer complaints and direct them to the appropriate department.
Required Qualifications
- Bachelor's degree or diploma in Business Administration, Hospitality, or a related field.
- Proven experience as a Front Office Executive, Receptionist, or similar role (preferred).
- Proficiency in MS Office (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
