1. Financial Transactions & Payment Processing
- Accept and Process Payments: Handle cash, checks, credit/debit cards, and electronic fund transfers (EFT) for vehicle purchases, service repairs, and spare parts sales.
- Verify Funds: Validate large checks, ensure credit card signatures match, and obtain proper authorization for large or unusual transactions.
- Issue Receipts & Change: Provide accurate change and official, itemized receipts to customers for every transaction.
- Manage Financing Documentation: Work closely with the Finance & Insurance (F&I) department to process down payments, loan disbursements, and external bank drafts.
2. Customer Service & Front-Desk Management
- Final Customer Touchpoint: Deliver a friendly, professional, and positive closing experience for customers leaving the dealership.
- Explain Invoices: Briefly and clearly explain service or parts invoices to customers before taking payment, guiding them through parts costs, labor charges, and applicable taxes.
- Direct Enquiries: Answer incoming calls to the cashier desk, answer basic billing questions, and route complex financial inquiries to the accounts or F&I team.
3. Daily Balancing, Accounting & Administrative Tasks
- Reconcile the Cash Drawer: Balance the cash drawer at the beginning and end of every shift, ensuring physical cash matches the dealership’s point-of-sale (POS) system or Dealer Management System (DMS).
- Prepare Bank Deposits: Count, log, and prepare daily cash and check deposits to be sent to the bank securely.
- Maintain the Petty Cash Fund: Manage and document minor dealership expenses paid out through petty cash, ensuring all receipts are collected and logged.
- Filing and Record Keeping: Organize and file daily cash reports, repair orders, parts invoices, and counter slips for the accounting department’s audits.
4. Compliance and Security
- Anti-Money Laundering (AML) Compliance: Monitor and report large cash transactions in strict compliance with local financial regulations (e.g., Form 8300 compliance in the US, or equivalent local anti-money laundering laws for cash transactions exceeding specific thresholds).
