The Executive Assistant (EA) will provide comprehensive administrative and strategic support to senior leadership, enabling effective time management, seamless communication, and smooth execution of priorities. The role requires high levels of professionalism, confidentiality, organization, and the ability to operate in a fast-paced, dynamic environment.
Key Responsibilities
Executive & Administrative Support:
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and reminders
- Coordinate domestic and international travel, including itineraries, visas, accommodation, and expense management
- Handle incoming calls, emails, and correspondence, responding or prioritizing as appropriate
- Prepare meeting agendas, presentations, reports, and briefing notes
- Track action items, follow up on deliverables, and ensure timely closure
Stakeholder & Communication Management:
- Act as a liaison between the executive and internal teams, board members, investors, and external partners
- Ensure clear communication and timely information flow across stakeholders
- Maintain professionalism and confidentiality in all interactions
Coordination & Operations:
- Support cross-functional coordination on leadership initiatives and strategic projects
- Assist in organizing leadership meetings, town halls, offsites, and board meetings
- Maintain accurate records, documentation, and filing systems
Strategic & Project Support:
- Assist the executive in tracking key priorities, deadlines, and business objectives
- Conduct basic research, data compilation, and analysis to support decision-making
- Support special projects and initiatives as assigned
Confidentiality & Compliance:
- Handle sensitive information with the highest level of discretion
- Ensure compliance with internal policies and governance requirements
Required Skills & Qualifications
- Bachelor’s degree in any discipline
- 3–8 years of experience as an Executive Assistant or in a similar senior administrative role
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication skills
- High level of discretion, integrity, and professionalism
- Proficiency in MS Office / Google Workspace (Word, Excel, PowerPoint, Calendar, Email)
- Ability to work independently and proactively anticipate needs
