1. Inward Operations & IMS Entry
- Be present at the factory/warehouse store for every inward — raw materials, packaging, consumables, and
finished goods.
- Supervise unloading, count and weigh each consignment, and enter all details into the IMS immediately —
product, quantity, weight, batch number, and expiry where applicable.
- Verify supplier invoices and delivery challans against physical receipt; flag and document any discrepancies
before completing the inward procedure.
- Ensure proper labelling of all incoming stock and allocate to designated store zones as per product
category and storage requirements.
2. Store Organisation, Rotation & Hygiene
- Arrange stocks systematically and maintain FIFO and FEFO principles across all product categories within
the store at all times.
- Keep the store clean, organised, and clutter-free; ensure aisles, racks, and bin locations are clearly labelled
and accessible.
- Conduct periodic condition checks; identify and escalate stagnant, near-expiry, slow-moving, or damaged
stock for timely action.
- Support liquidation of ageing or slow-moving items to prevent write-offs and minimise losses.
- Maintain dedicated zones for raw materials, packaging materials, consumables, and finished goods.

3. Outward / Issue Operations
- Execute stock issues strictly as per authorised material requisitions or production orders; enforce
FEFO/FIFO during all picking operations.
- Inspect outgoing or issued stock for condition and cleanliness before handover; repackage or reject
damaged or substandard items as required.
- Update IMS in real time for all outward movements and issues; cross-verify quantities against requisition
documents before release.
- Ensure zero unauthorised issues — all stock movements must be backed by approved documentation.
4. IMS Compliance & Documentation
- Ensure 100% real-time logging of all stock transactions — inward, transfer, issue, return, and adjustments
— in the IMS without exception.
- Maintain complete and accurate documentation for all inward, outward, and issue activities; no pending
paperwork to be left unresolved at end of shift.
- Generate and submit stock reports as required — daily updates, expiry alerts, slow-movers, and store
capacity utilisation summaries.
- Maintain a clean physical file system for all GRNs, delivery challans, issue slips, and transfer notes.
5. Stock Verification & Reconciliation
- Conduct weekly cycle counts and monthly physical stock reconciliation against IMS records.
- Identify and report discrepancies immediately; support root-cause analysis and corrective action.
- Ensure the store is audit-ready at all times; support all internal and external audits and close observations within agreed timelines.
6. Cross-Functional Coordination
- Coordinate closely with the Production, Quality, and Procurement teams for timely material availability and
issue accuracy.
- Communicate proactively on stock shortages, excess inventory, or quality issues that may impact
production continuity.
- Liaise with suppliers and transporters for inward coordination, discrepancy resolution, and returns as needed.
