The Manager cum Coordinator is responsible for the smooth day-to-day operations of the centre. This role oversees scheduling, client experience, therapist coordination, billing, administration, staff supervision, and operational efficiency while ensuring high-quality service delivery. Key Responsibilities Operations Management Ensure the smooth daily functioning of the centre. Supervise front office and administrative activities. Monitor therapist attendance, punctuality, and productivity. Ensure therapy rooms, equipment, and materials are well maintained. Implement and monitor centre SOPs. Client Coordination Handle new enquiries and convert them into admissions. Schedule assessments and therapy sessions. Manage appointment confirmations, cancellations, and rescheduling. Address parent concerns professionally and ensure timely resolution. Maintain excellent customer satisfaction. Therapist Coordination Prepare and manage therapist schedules. Coordinate leave requests and substitutions. Monitor session completion and documentation. Ensure assessment reports, goal sheets, and progress reports are completed on time. Billing & Administration Generate invoices and collect payments. Track pending dues and follow up with parents. Maintain accurate client records and documentation. Prepare daily and monthly operational reports. Team Management Supervise administrative staff. Conduct regular team meetings. Assist in onboarding and training new employees. Promote discipline and accountability within the team. Quality & Compliance Ensure confidentiality of client information. Maintain compliance with centre policies. Ensure documentation standards are consistently followed. Marketing Support Coordinate with the marketing team for enquiries and follow-ups. Maintain enquiry and conversion records. Support workshops, awareness programs, and promotional events. Key Performance Indicators (KPIs) Client satisfaction and retention. Enquiry-to-admission conversion rate. Therapist schedule utilization. Timely billing and payment collection. Report completion within deadlines. Reduction in missed or cancelled sessions. Overall operational efficiency
.Qualifications Bachelor's degree in Business Administration, Healthcare Management, Psychology, Social Work, or a related field. 2–5 years of experience in operations, administration, or healthcare coordination preferred. Experience in a therapy, hospital, clinic, or educational setting is an advantage. Skills Required Strong leadership and organizational skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Excel, Google Workspace, and clinic management software. Ability to multitask and prioritize effectively. Problem-solving and decision-making skills. Strong attention to detail and confidentiality. Working Hours Monday to Saturday, as per centre operating hours.
Pay: ₹10,170.84 - ₹25,000.00 per month
