Tender & Sales AssistantJob Summary
We are looking for a detail-oriented, proactive, and organized Tender & Sales Assistant to support end-to-end tendering and sales coordination activities. The ideal candidate will assist in identifying tender opportunities, preparing and submitting bids, coordinating with internal departments, and maintaining accurate documentation and records.
The role also involves supporting post-award activities such as invoicing, payment follow-ups, project documentation, and administrative coordination to ensure smooth business operations.
Key Responsibilities1. Tender Identification & Evaluation
- Identify and monitor tender opportunities from various portals and sources
- Review tender requirements and support the Go/No-Go evaluation process
- Assist in preparing tender support notes and related documentation
- Coordinate with internal departments to collect technical and commercial inputs
- Support the pricing team by providing required information and documentation
2. Bid Preparation & Submission
- Prepare technical and commercial bid documents
- Compile, verify, and organize all tender-related documents
- Coordinate EMD, tender fees, bank guarantees, and related formalities
- Submit bids through GeM and other e-tendering portals within deadlines
- Ensure accuracy, completeness, and compliance of all submissions
- Maintain proper records of submitted tenders and related correspondence
3. Coordination & Communication
- Coordinate with clients and internal teams during bid evaluation stages
- Handle tender clarifications and document submissions as required
- Support participation in reverse auctions where applicable
- Coordinate with vendors, suppliers, and project/site teams for required inputs
- Maintain professional communication with customers and stakeholders
4. Post-Award Documentation & Sales Support
- Assist in processing award notifications and purchase orders
- Support project coordination and maintain documentation records
- Prepare invoices and submit billing documents to clients or portals
- Track payment status and follow up with clients for receivables
- Assist with agreements, insurance documents, bank guarantees, and compliance records
- Support work completion documentation and project closure activities
- Maintain accurate reports, MIS data, and filing systems
- Assist in sales coordination and customer support activities
5. Administrative & System Support
- Maintain organized soft and hard copy filing systems
- Perform basic ERP entries and update task progress regularly
- Coordinate vendor registration and documentation updates
- Support Digital Signature Certificate (DSC) management and portal access
- Ensure confidentiality of tender, pricing, and company data
- Stay updated with tender regulations, GeM procedures, and government policies
- Provide administrative support to accounts, HR, and project teams when required
Educational Qualification
- Bachelor’s Degree in Commerce, Business Administration, Management, or a related field
- Additional certification in Tendering, Procurement, Contracts, or Sales Coordination will be an added advantage
Technical Skills
- Basic understanding of tendering processes and documentation
- Familiarity with GeM and other e-tendering portals
- Proficiency in MS Office (Excel, Word, PowerPoint)
- Basic knowledge of ERP systems
- Understanding of commercial terms, pricing, and compliance requirements
- Knowledge of EMD, bank guarantees, invoicing, and contractual documentation preferred

- Freshers with relevant internship experience or exposure to tendering processes are also encouraged to apply

Pay: ₹12,000.00 - ₹35,000.00 per month
