Position Title: Administrative Staff

Job Summary
We are seeking an organized and proactive Administrative Staff member to join our new branch in Kollam. The ideal candidate will be responsible for managing day-to-day office operations, coordinating with students and staff, handling documentation, and supporting the smooth functioning of the institute. Candidates with Gulf experience will be given high preference.
Key ResponsibilitiesOffice Management
- Manage daily office operations and maintain a clean, organized work environment
- Monitor office supplies and place orders when necessary
- Ensure proper functioning of office equipment (printers, computers, projectors)
- Coordinate with vendors, service providers, and maintenance staff
Student Support and Coordination
- Welcome and assist students, visitors, and parents at the front desk
- Provide information about courses, schedules, fees, and institute policies
- Handle student inquiries in person, over the phone, and via email
- Assist with student registration, enrollment, and ID card issuance
- Maintain student records and files confidentially
Faculty and Staff Support
- Coordinate class schedules, room allocations, and trainer availability
- Assist trainers with teaching materials, photocopying, and other requests
- Maintain staff attendance records and leave tracking
- Help organize meetings, training sessions, and institute events
Documentation and Record Keeping
- Maintain physical and digital files for students, staff, and administration
- Prepare admission reports, attendance reports, and other routine documents
- Issue certificates, fee receipts, and other official documents
- Ensure all records are accurate, updated, and stored securely
Communication and Correspondence
- Answer incoming calls and direct them to the appropriate person
- Respond to emails and messages in a timely and professional manner
- Prepare letters, notices, and internal communications as needed
Compliance and Quality Assurance
- Ensure administrative processes follow institute policies and standards
- Assist in internal and external audit preparations
- Maintain confidentiality of student and staff information
