Essential Duties and Responsibilities
Human Resource Management
- Manpower planning and allocation.
- Recruitment management including manpower approval, sourcing, background verification, salary negotiation, and appointment formalities.
- Joining, induction, confirmation, transfers, promotion, and exit formalities.
- Performance appraisal coordination and implementation.
- Training and development planning and execution.
- Employee engagement, welfare, rewards, and recognition initiatives.
- Employee grievance handling and disciplinary actions.
- Ensure implementation and compliance with company policies, rules, and standing orders.
- Maintain employee records and HR documentation.
- SOP formation and implementation.
Payroll and Benefits Administration
- Verify salary processing for staff and contract labour.
- Administer employee benefits including insurance, leave, medical benefits, and welfare schemes.
- Coordinate employee health insurance and other benefit programs.
- Monitor employee benefit requirements and recommend improvements.
Statutory Compliance and Industrial Relations
- Handle statutory renewals, licenses, and return filings related to:
- Labour Department
- Factories Department
- Employees' Provident Fund (PF)
- Employees' State Insurance (ESI)
- Commune Panchayat
- POSH Compliance
- Other applicable statutory authorities
- Ensure compliance with labour laws and applicable regulations.
- Represent the organization during inspections, hearings, conciliation proceedings, and labour court matters.
- Handle industrial relations activities and legal compliance requirements.
Audit and Documentation
- Maintain HR documents as per internal, external, customer, and statutory audit requirements.
- Maintain historical HR records through proper filing and retrieval systems.
- Coordinate document preparation for audits and inspections.
Administration and Facility Management
- Plan and coordinate administrative procedures and systems.
- Monitor office facilities, housekeeping, security, canteen, scrap disposal, and vendor agreements.
- Manage agreements related to contractors and service providers.
- Monitor office supplies and procurement activities within budget.
- Organize and supervise office activities, events, renovations, and welfare programs.
- Monitor administrative costs and support budget preparation.
- Ensure smooth flow of information across departments.
Project and Infrastructure Support
- Handle HR and administrative requirements for new projects.
- Coordinate office amenities, infrastructure, and employee arrangements.
- Arrange IT facilities and monitor company assets.
Training and Leadership Support
- Coordinate management training programs on:
- Recruitment and interviewing
- Performance management
- Promotions and terminations
- Workplace safety
- POSH and sexual harassment prevention
- Provide coaching and guidance to employees and team members.
Non-Essential Duties and Responsibilities :
- Coordinate overseas staff visa and FRRO-related processes.
- Perform any other duties assigned by Management from time to time.
